As an Administrative Assistant at the Daly City Community Service Center, a department of Daly City Partnership, you will be an integral part of our team. You will provide vital support to ensure the smooth and efficient functioning of our department's programs. You will undertake a variety of administrative tasks, including daily communications, collection and entry of data, and staff and client support. In many cases, you will be the face of the organization for daily operations, enable our program to operate effectively and efficiently. With the expansion of DCP, we are seeking an Administrative Assistant to become a valuable addition to our team and play a key role in our progress and development.
This position is 100% on-site will be located at the Daly City Community Service Center.
MINIMUM QUALIFICATIONS
- 1 to 3 years of business and clerical work experience
- 1 to 3 years of customer service experience
- Demonstrated proficiency in Microsoft Suite (Word, Excel, PowerPoint)
- High degree of accuracy, efficiency, and attention to detail
- Maintain proper professional boundaries
- Willingness and ability to ask for help and to work under supervision.
- Must demonstrate cultural humility, treat all people with respect and believe that different experiences and perspectives add value.
- Associate or bachelor’s degree in business administration, accounting, social work, or equivalent work experience.
- Bilingual Spanish is required for this position
RESPONSIBILITES AND TASKS
- Proactively attend all mandatory training and attend at least 2 training opportunities quarterly that will contribute to the team’s success.
- Identify areas of success, and opportunities for growth in partnership with your direct supervisor at semi-monthly 1-1 supervision meetings.
- Learn and initiate the processes and procedures pertaining to the department’s offerings, which encompass emergency support programs.
- Establish a well-built system for identifying client needs and providing accurate referrals and warm handoffs to large numbers of partner agencies.
- Identify and share challenges that you may have such as concerns with data entry, or being unfamiliar with the CES process, or other program referrals with your supervisor.
- Support case managers and department directors as needed
- Manage daily communications: answer phones, email and snail mail, take detailed messages and convey messages in a timely manner.
- Physically move from place to place in order to provide services throughout the day, accept deliveries, and other tasks as assigned.
- Answer phones and doorbell and provide initial assessment, triage and referral for clients.
- Maintain accurate data entry into client relations management system, Clarity, as well as other tracking systems throughout the workday while processing client requests.
- Act as a key individual responsible for maintaining high levels of client customer service.
- Support the client application process for seasonal community service projects (Back-to-school family resource event, holiday toy distribution, etc.).
ABILITY TO
- Stand and sit and move around for extended periods of time
- Lift up to 50lbs of weight
- Work during standard business week/hours: Mon-Fri 8:30 am – 5:30 pm
- Work occasional evenings and weekends, as requested

Pay: $26.00 - $28.00 per hour
