ADMINISTRATIVE ASSISTANT
CLASSIFICATION: HOURLY NON-EXEMPT
REPORTS TO: COO and Agency Supervisors
As an integral part of Triad Family Services, the Administrative Assistant shall be responsible for coordinating, screening, and making decisions regarding documents, staff requisitions and requests, assessing accuracy and appropriateness.
DUTIES:
- Stationed in the El Camino office, Monday-Friday, 8:30am-5pm, or adjusted full-time hours as meets Triad’s needs. Answers Triad main phone 10am-4pm for posted office hours.
- Responsible for office organization and cleaning, including bathroom, floors, and outside trash.
- Complete IT duties to help staff maintain server connections, and pass on to IT contractors any unresolved issues.
- Creates name badges for staff, updates staff lists such as phone list, and create new hire files.
- Responsible for making decisions regarding the appropriateness of staff and Resource Parent reimbursements and bonuses.
- All requests for equipment and other office needs are reviewed for accuracy and appropriateness and routed to the appropriate departments.
- Interfaces with corporate departments and serves as a link between them and office Supervisors.
- Responsible for coordinating, screening, and submission of county documents in a timely manner as requested.
- Obtain and maintain the appropriate business/professional licenses and/or certifications as required by Triad’s contracting entities, licensing bodies and/or the Agency’s programmatic needs, and provide evidence of such to his/her supervisor.
- Process and sort through the mail.
- Performs other duties as required.
QUALIFICATIONS:
Education: High School Diploma required. Some college coursework preferred.
Training and Experience: Must have the ability to work independently with minimal supervision and maintain employee confidentiality. Have experience in customer service over the phone and in person. Must be organized and able to establish priorities. Possess typing skills of 30 wpm.
Be proficient in the use of computers, including Email, Microsoft Word, Office 365 and Excel.
Personal Qualifications: Be able to communicate clearly and concisely, both orally and in writing in English. Must be at least 18 years of age, possess a valid driver’s license; a clean DMV record, be able to safely operate a motor vehicle and be insurable by Triad’s insurance carrier.
Must be able to pass a physical examination; drug clearance; criminal background check; Child
Abuse Index check. In all cases, he/she should fulfill the general requirements as established in the California Code of Regulations, Title 22, Division 6, Chapter 8.8, Section 88065.2.
Have the ability to learn in a fast paced environment and know how to take initiative.

Physical Qualifications: Must have the ability to physically supervise, confront, and observe children. Must be able to lift 40 pounds of weight, and possess the body flexibility to perform the following: bending, reaching, stooping, standing, walking, driving for extended periods of time, and must be physically able to sit and to operate a computer and/or other office equipment for extended periods of time. Such alternatives to the above qualifications as the Agency may find appropriate.
