Position Summary
An Administrative Assistant or Specialist performs higher level office support duties and provides assist to our Senior Vice President (SVP) population within the organization. The Administrative Assistant perform a wide range of administrative and personal assistant duties.
Responsibilities
- Manage and distribute incoming and outgoing correspondence that include phone calls, emails, mail, and packages. Respond to requests for information and provide assistance as appropriate. Prioritize and resolve inquiries (phone, e-mail, in-person)
- Monitor and order inventory for office and break room supplies
- Ensure meeting and training rooms are fully stocked with supplies and prepared forattendees
- Submit work orders and schedule repairs for general office space and equipment,connecting with and escorting vendors
- Receive and direct visitors
- Schedule and maintain calendar appointments, meetings, and travel itineraries, and coordinate related arrangements for organization SVP population
- Extract and compile a range of data from written sources, individuals, and/or databases, providing a limited interpretation of data
- Coordinate and complete special projects independently or in cooperation with other groups as assigned
- Assist to plan and coordinate special events and performs other duties as assigned
Requirements
- High school diploma or equivalent required
- 4 years of experience in an office or administrative support position, appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
- Familiar with office equipment and procedures
- Able to lift up to 45 pounds
Skills
- In-depth knowledge of department policies, procedures, and goals as well as administrative support in completing complex tasks
- Demonstrated the ability to gain the confidence and cooperation of peers
- Demonstrated editing and proofreading skills
- Ability to juggle multiple tasks and meet demanding deadlines
- Must be self-directed and able to take initiative. Always looking for ways to do something better; forward?thinking planner
