Job Description:
We are seeking an Administrative Assistant to join our team. The ideal candidate will provide excellent customer service to families, providers (both internal and external), and funding sources, facilitating quality care and services. As an Administrative Assistant, you will be responsible for various operational and administrative duties in our assigned office. You will act as a liaison between the clinical staff and operations team, ensuring smooth communication and efficient workflow. This role involves being the initial point of contact for visitors, providing support, and maintaining a positive working environment.
Duties and Responsibilities:
- Perform weekly operational responsibilities and conduct weekly operation audits using a provided checklists
- Manage the Services On-Hold List
- Maintain accurate schedules for assigned locations
- Coordinate with the clinical team to ensure timely session conversion and signatures
- Keep clinic asset lists up to date
- Reconcile and audit staff schedules and client hours for accuracy
- Monitor and communicate cancellation trends with the clinical supervisor
- Evaluate, report, and address risks/compliance concerns related to client scheduling matters
- Provide clerical support and assist with office management functions, including maintaining office supply inventory, filing, and processing paperwork requests
- Collaborate with other departments for timely paperwork and task completion
- Maintain a presentable environment for clients, their families, and staff
- Assist in completing accreditation tasks and responsibilities
- Ensure work is completed accurately and timely, meeting deadlines
- Assist with client file requests
- Coordinate new hire training materials, schedules, and shadowing
- Assign tablets to new hires
- Foster positive, collaborative relationships with staff, clinical team, and management
- Maintain confidentiality of PHI and other privileged information
- Perform other duties as assigned
Qualifications and Skills:
- Must be at least 18 years of age
- High School Diploma or equivalent required
- Background and fingerprinting clearance required
- Experience in an administrative role preferred
- Effective communication skills, both oral and written
- Proficient in reading and mathematical skills
- Familiarity with electronic devices (tablets, cell phones, computers)
- Effective problem-solving and critical thinking skills
- Ability to self-motivate, be an initiator and self-manage

Pay: $20.54 - $24.73 per hour
