Executive Assistant to the Chair and the Administrator of the Department of Plastic and Reconstructive Surgery; coordinates and oversees daily administrative functions of the Chair's office; serves as core liaison between Chair and other departments, the college, hospital administration and other healthcare professionals, vendors, visitors and others; utilizes considerable discretion and judgment in handling actions on behalf of Chair and determining appropriate action and/or disposition of matters; confers with Chair to set priorities and ensure deadlines are met while functioning with a high degree of autonomy; coordinates Chair's complex calendar, resolves administrative and operational conflicts and continual changing demands to OR, clinic, meeting, conference and travel schedule; arranges, organizes and schedules meetings, including with executive leadership at the college and the university and external constituents at other academic institutions; coordinates all aspects of complex travel for the Chair and works with department fiscal officer for pre-approvals and reimbursements; coordinates payment of professional society membership dues; manages Chair's email, highlighting action needed and ensures deadlines are met; routinely responds to correspondence and inquires on behalf of the Chair exercising sound judgment; maintains confidentiality in handling highly sensitive and confidential correspondence and communication; utilizes Docu-Sign for annual faculty reviews and signatory documentation; drafts, edits and prepares all requests for letters of support/recommendation and faculty promotion review for Chair's review and signature, researches and summarizes information to aid chair and department administrator in decision making and strategic planning; determines issues for discussion and prepares agendas for meetings; researches and provides background information to facilitate action on requests received and secures pre-read materials for meetings and speaking engagements; identifies and prepares talking points; records and distributes meeting minutes; monitors, determines and compiles content for complex departmental administrative reports; may organize and facilitate special projects as directed by department administrator in support of goals and objectives; other related duties as assigned.
