GENERAL RESPONSIBILITIES
The Administrative Assistant provides support in four key areas- to the School Principal, Staff, School Board, and the overall School.
School Principal Office Support
- Assist in preparing documents and addressing correspondence.
- Process incoming and outgoing mail.
- Provide general clerical and admin support.
- Handle travel arrangements.
- Coordinate meeting scheduling.
- Organize paper and electronic files.
- Creating new emails for school staff, etc.
- Take notes and minutes of key meetings.
- Manage background checks.
- Draft employee offer letters and update contracts
- Complete state reporting and ordering of IOWAS and National Latin Exams.
Staff Support
- Provide general clerical support.
- Order school supplies.
- Take notes and minutes of key meetings.
- Confirm CPR and first aid certification.
Board Support
- Support various Board members in carrying out their duties (such as scheduling school events including Fundraising, etc.)
- Partner with the Director of Development and Communications in support of their key responsibilities (website maintenance, communications to staff & parents, etc.)
School Support
- Liaison with the church on key facility needs.
- Work with key vendors.
- Partner with PCP and others to help organize and at times lead key events.
- Recruiting/hiring site management for job postings and filling the pipeline of applicants (Indeed, Handshake, ACCS)

REPORTING STRUCTURE
The Administrative Assistant reports to the School Principal. They will work closely with several others including teachers, parents, volunteers, school staff, and Board members.
WORK YEAR
This is a part-time position that works 12 months a year approximately 10-12 hours a week. We operate on a 35-week academic calendar with a 4-day school week which meets Tuesday - Friday. In addition to summer break, we have a one-week Thanksgiving break, a two-week Christmas break, and a one-week spring break.
- The Administrative Assistant works from both his or her school office as well as at home depending on the needs. There are abbreviated hours during the summer break.
- In addition to day-to-day school operations, leadership and presence at key school events that occur outside of the school day (e.g. Christmas Cantata, Field Day, etc.) may be required.
QUALIFICATIONS
- High school diploma or GED required; associate degree preferred.
- 2+ years administrative experience, preferably in an educational setting
- Proficient with MS Office applications and database software
- Excellent written and verbal communication skills
- Strong organizational abilities and attention to detail
- Ability to multitask and prioritize workload.
- Commitment to customer service and teamwork
- Complete and pass a background check.
- Maintains a faithful and vibrant relationship with God.
