Job Description
We are seeking an Administrative Assistant to perform various administrative and clerical tasks, bilingual Spanish is a plus. As an Administrative Assistant, you may be our company's first point of contact with a positive attitude. Duties will include offering administrative support across the organization. You may welcome guests and greet people who visit our office. As our 1st point of contact, punctuality is a must. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls. To succeed as our Administrative Assistant, you should have a pleasant personality, as this is also a customer service role. You should be able to deal with emergencies promptly and effectively while streamlining office operations. Multitasking and stress management skills are essential for this position. An Administrative Assistant executes all administrative tasks to the highest quality standards.
Responsibilities
- Write and distribute emails, memos, letters, faxes, and forms
- Answer, screen, and forward incoming phone calls
- Assist in the preparation of regularly scheduled reports
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and office
- Update and maintain office documents, including but not limited to contractor and vendor contact, lease documents, and service reports
- Provide basic and accurate information in person and via phone/email
- Receive, sort, and distribute daily mail/deliveries
- Proficiency in Microsoft Office Suite
- Proficiency in QuickBook, accounts receivable “AR” is a plus
- Hands-on experience with office equipment (e.g., fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills attention to details are imperative
- Multitasking and time-management skills, with the ability to prioritize tasks
