Accounts Payable Specialist

POSITION SUMMARY:The Accounts Payable Specialist works closely with the Assistant Director of Finance-GL/AP and the CFO to meet all Accounts Payable requirements and responsibilities. Major responsibilities include the Accounts Payable areas of the finance department. This includes the processing of all invoices with correct coding and weekly production of checks/EFT's

QUALIFICATIONS:

1. A minimum of a high school diploma or equivalent
2. Two (2) years' experience in high volume Accounts Payable position preferred
3. Ability to multi-task
4. Exceptional attention to detail with strong analytical/problem solving and research capabilities
5. Knowledge of maintenance of appropriate internal controls and financial procedures.
6. Ability to set priorities, meet deadlines, and schedule time efficiently
7. Must possess working knowledge of Windows computer systems and demonstrated knowledge of Microsoft Excel & Microsoft Word as well as various accounting software systems.
8. Must possess excellent oral and written communication skills.
9. Self-motivated and be able to work independently with minimal supervision as well as within a team environment
10. Must be able to identify with the agency mission statement and support the agency's core values.
11. Must have acceptable PA State Police clearance, PA Child Abuse History clearance and FBI clearance.

KNOWLEDGE AREAS:

• Accounts Payables and related processes and internal controls.
• Knowledgeof developing procedures for accounting and purchasing processes.

POSITION SPECIFIC CORE COMPETENCIES:

1. Prepare all Accounts Payables Invoices including coding, due dates and other relevant information for review by the CFO.
2. Enter all Accounts Payables Invoices into the Accounting System.
3. Produce weekly Accounts Payable check run.
4. Mail and distribute all Accounts Payable checks, including appropriate documentation.
5. Copy invoices as needed (901, 102, Prepaids, Fixed Assets) and file all checks and invoices
6. Maintain, organize and update all vendor files and 1099 vendor information
7. Review all Accounts Payable vendor statements and address all outstanding invoices
8. Update monthly Accounts Payable Invoice tracker to ensure all monthly invoices have been recorded prior to month end closing
9. Reconcile month end Accounts Payable General Ledger to the Accounts Payable Sub-Ledger.
10. Assist in the creation and monitoring of accounting internal controls.
11. Assist in daily depositing of all Glade Run Foundation checks
12. Assist in the development of Accounts Payable accounting procedures and processes for better efficiencies
13. Support the Assistant Director of GL as needed.
