Busy Stone & Tile Company looking for an administrative accounting/office superstar to join our team. This position will be in charge of Accounts Payables, Credit Card Reconciliations and provide administrative support for Accounting, HR, Project Managers & Senior Management.
The ideal candidate will possess the following skills/traits:
- Proficiency in Quickbooks Desktop
- Advanced computer skills, specifically Excel, Outlook & Word.
- Prior Experience in accounts payables & receivables, job costing, chart of accounts, credit card reconciliation, payroll, human resources.
- Understand the basic concepts of project management
- Excellent communication & follow up skills, competent email correspondence and organization using Microsoft Outlook.
- Excellent organizational skills and attention to detail; must be able to multi-task & prioritize with efficient time management.
- Excellent problem-solving skills with a creative mind and the ability to suggest improvements.
- An enthusiastic teammate who is willing to take on anything from small internal administrative tasks to high profile requests
- Proactive communication with internal and external business partners at all levels.
- Demonstrates a high level of professionalism in dealing with confidential and sensitive issues, trustworthy and reliable.
- Self-starter with minimal supervision needed.
- Fluent in English with ability to write effectively, paying attention to sentence structure, grammar and vocabulary.

Some job duties include:
- Accounts Payables
- Credit Card Reconciliation
- Assist with Accounts Receivables
- Quickbooks – enter bills, create purchase orders, record deposits, reconcile item receipts, create inventory items, create invoices, enter CC charges, reconciliation, reports, etc.
- Independent Contractor Payroll
- Subcontractor/IC Paperwork & Insurance Tracking
- New Project Setup – Leads/Estimates/Jobs/Notices
- Material Sourcing as needed
- Sort & Scan Incoming Mail
- Screen & Route phone calls in a professional & friendly manner
- Administrative Support including filing, copying & scanning, etc.
- OSHA Compliance/filing/communications
- Assist with communication & tracking of injuries, workers comp claims, etc.
- Assist with organizing HR files, new hire paperwork, employee requests
- Assist with applicant screening
- Set up safety trainings and maintain logs & spreadsheets
- Assist with payroll processing, clockshark reports, ADP, etc.
- Coordinate and execute daily administrative tasks as assigned.
