POSITION SUMMARY:
- Works under the direction of the Accounting and Payroll Manager in the Human Resources (HR) Department to process HR accounting tasks and various HR operations work, as well as the general HR Team as requested.
- Assists the Accounting & Payroll Manager with the day-to-day, month-end, and year-end HR & Payroll accounting and payroll functions. Functions may include, but not limited to, various bank reconciliation, payments, maintaining the corporate general ledger relating to HR and payroll activity, responding to business unit and subsidiary inquiries, assisting with company and department budgets, etc.
- Fosters and maintains positive employee relations and morale throughout the organization by adhering to the overriding principle that "HR is Here to Help," and providing support to HR sponsored events and programs including, but not limited to holiday party, lunch and learns, community relations, bring your children to work day, retirement parties, etc.
ESSENTIAL JOB DUTIES:
- Processes and pays vendor invoices monthly.
- Prepares quarterly allocation reports to send to each department, in addition to the allocations report to be provided to IT/Systems Planning.
- Assists with Bi-weekly and month end General Ledger by running and gathering specific reports.
- Helps with reconciling accounts between vendors' record and MAC's bank record such as monthly medical bank reconciliation.
- Provides support with month end process by sending invoices to subsidiaries through i-note (inter-billing process) and by email for billable shared services for regular and expat staff.
- Updates the Personal Expense spreadsheets by department.
- Aids in reviewing monthly self-billed life insurance invoices and reconciles the payment amounts between Dayforce and MAIN21. Using advanced analytical, financial, and excel skills to reduce the process hours.
- Manages FSA/Commuter benefits analysis for MAC and subsidiaries, and send entries for Parking, Transit, Medical FSA, Dependent Care FSA, etc., to Finance team for processing.
- Assists with the annual Payroll and Benefit Audits (such as 401k) and keeps reconciling constantly for MAC and subsidiaries.
- Works with HR Accountant to update benefits Health and Welfare account, and runs reports monthly from Accounting System.
- Provides departments with their personnel expense budgets quarterly and updates departments quarterly allocations.
- Updates incoming/outgoing wire transfers in accounting system.
- Helps support HR Accounting Team with reconciliations, transfers, updates, and special projects.
- Provide support for the processing and reviewing of multiple payrolls in a multi-corporate, multi-state shared services environment with various pay frequencies for all FLSA groups for both Marubeni American Corporation (MAC) and its participating subsidiaries and affiliate operations groups.
- Provide support with reviewing and confirming 401(k) contributions.
- Process funding for various programs to include 401k funding, Health Savings Account (HSA), etc.
- Sends payroll reports to subsidiaries after payroll commits.
- Sends emails to employees about direct deposit change and/or benefits catch up.
- Updates Non-Qualified plan employee contribution monthly.
- Assists Payroll team with acting as part of first-level support for management and employees in resolving payroll related questions and issues in a positive and constructive manner.
- Performs other payroll duties as directed and assigned including special projects.
MINIMUM EDUCATION REQUIREMENTS:
Bachelor's degree in accounting, business, human resources, or related field.
MINIMUM EXPERIENCE AND CAPABILITY REQUIREMENTS:
- 2-3 years of direct experience with accounting and payroll services.
- Experience in SAP and Dayforce (or other relevant HRIS OR HCM platform) a plus.
- Advanced Microsoft Excel and Word skills required.
- Team-player mentality with ability to collaborate with all cross-functional areas such as other HR functions, business groups, and external clients and vendors.
- Robust analytical skill with sharp eye for detail and data integrity.
- Impeccable organization skills.
- Excellent written and verbal communication.
- Must be able to work in a multi-cultural business environment.
