Job Title
Accounting Clerk II
Nature of Work
Responsible for maintaining student accounts to include: reviewing accounts receivable, billing students, preparing student collections, receipting payments and providing great customer service through both oral and written communication.
Examples of Work Performed
Essential Duties:
1. Provide excellent customer service to students, staff and faculty
2. Responsible for accounts receivable (student accounts)
a. Process billings and payments
b. Answer inquiries on student accounts; maintain confidentiality of student information
c. Disburse student refund checks
d. Send student accounts to outside collection agencies following established procedures
e. Monitor monthly payment plans for students and parents
3. Responsible for Third-Party billings
a. Invoice miscellaneous companies/agencies for third party billing
b. Maintain files with adequate authorizations and backup for billings
4. Track study abroad and study away student payment balances
5. Assist student financials accountant with student account review
6. Reconcile payments to cash drawer daily
Secondary Duties
1. Issue parking permits to students, staff, faculty and public
2. Collect and post parking fines
3. Answer and route phone calls
4. Open and secure safe daily
5. Responsible for reconciliations as assigned
6. Other duties as assigned
Required Qualifications
High School diploma or equivalent
One year of responsible work experience in accounting, bookkeeping or any combination of skills, knowledge, or abilities to meet these requirements
Knowledge of a set of standardized practices, procedures, rules and operations
One year or more of providing excellent customer service
Successful background records and credit check
Preferred Qualifications
Associates degree in accounting or related field
Two years or more of providing excellent customer service
Two years of responsible work experience in accounting or bookkeeping position
Knowledge of accounting principles and practices
Knowledge of computer systems and accounting and financial software applications
Ability to communicate effectively both orally and in writing with the general public and a diverse staff and student population
Ability to maintain financial records
Ability to make operational decisions based on established procedures and policies
Physical Demands
The physical requirements for this position may include, but are not necessarily limited to, the ability to use a computer, calculator, telephone, lab equipment, keyboard, various teaching devices, and/or various types of office equipment. Must be able to effectively communicate in verbal and written formats and satisfactorily perform the functions of this position.
