- Work with corporate accounting to ensure financial records are accurate.
- Partner with the field service team on open jobs and maintain records of their financial transactions. Have knowledge of anticipated costs of all jobs.
- Data entry and reconciliation of labor sheets, credit card transactions and invoice information.
- Navigate through Epicor and Excel to locate and track transactions.
- Weekly entry of AP Batch.
- Review, evaluate and ensure all labor, invoices and material costs of jobs are accurate and accounted for prior to invoicing. Ensure all time sheets, credit card transactions and invoices are received for all service personnel for each job.
- Complete job checklists. Reconcile sales order to customer PO. Create invoices for completed orders and send invoices to customers via prescribed channels and accrue commissions for each job invoiced on a day to day and/or weekly basis.
- Record invoices and commissions in sales journal, invoicing spreadsheet, and commission accrual list. Verify that the sales journal balances.
- Have all labor, accounts payable and receivable in and accounted for at the end of each month for end of month closing. Invoicing of commission payables at the end of each month.
- Take and distribute phone calls and answer emails in a professional manner.
- Perform miscellaneous data entry, filing, and clerical duties as required.
- Associate degree in accounting, business, preferred.
- 1-2 years of experience in an accounting, accounts payable/receivable, or bookkeeping role.
- Professional written and verbal communication required.
- Proficient in Microsoft Word and Microsoft Excel.
- The ability to navigate the company’s ERP system. Epicor experience a plus.
- Exhibit a high level of integrity and the ability to communicate with customers.
- Must have great attention to detail and data entry skills along with strong organizational skills.
- Must be able to meet deadlines in a timely fashion.
