GENERAL SUMMARY:
Under direction, completes accounts payable processing, typing, filing, report distribution, accident billings. Assists in daily department operations by completing tasks such as; distributing reports, ordering office supplies, processing incoming and outgoing mail, inputting time sheets, maintain department files, answering phones and processing various documents.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
Matches invoices to purchase orders; reviews payables for correct account numbers and proper authorization.
Reviews incoming check requests for completeness and accuracy.
Confirms and/or assigns account allocations as needed.
Assures appropriate back-up is attached including budget pages if applicable.
Enters and scans accounts payable documents to the Precision system and Tungsten for payment.
Processes scheduled checks for accounts payable, prepares and maintains associated reports.
Reviews and reconciles vendor statements. Researches any outstanding invoices or discrepancies.
Maintains support schedules for all construction projects working closely with Engineering.
Maintains historical files, reports, and records as hard copy reports and/or electronic copies on designated computer applications.
Maintains communication with vendors regarding invoices and statements, purchasing and other Department of Road employees to ensure efficient flow of documents for timely payments.
Coordinates and maintains internal and external correspondence, forms, form letters, reports, and other documents as needed.
Assists Finance Management with projects, preparation of financial documents, filing and typing.
Assists in daily department operations by completing tasks such as; distributing reports, ordering office supplies, processing incoming and outgoing mail, inputting time sheets, maintain department files, answering phones and processing various documents.
Assures all vendors have a current W-9 on file for purposes of 1099’s.
Assists in the preparation of year-end tax forms.
Inputs journal entries as needed and scans for retention.
Assist with accident billings as needed for property damage occurring on primary and local Macomb County roads.
Performs other related duties and projects as assigned by management.
QUALIFICATIONS:
Required Education and Experience:
High school diploma or a certificate of successful completion of the General Educational Development Test
One (1) year of experience with Department of Roads finance operations or three (3) years of finance experience in a related field
Preferred Education and Experience:
Associate’s Degree from an accredited college or university in Finance, Accounting or related field
Five (5) years of experience finance experience in a related field
Required Licenses or Certifications:
