QUALIFICATIONS/ EXPERIENCE REQUIREMENTS:
- High school diploma required, associate's degree preferred.
- Previous administrative experience preferred, other secretarial experience may be considered.
- Must have knowledge of MS Word, Excel, and Outlook and a minimum typing speed of 50 words per minute accurately.
- Must have excellent time management and customer service skills.
- Experience in establishing and maintaining comprehensive filing systems, which includes confidential information and a combination of skills to include record keeping and operating office equipment.
- Ability to independently prioritize and to function accurately and smoothly under pressure.
- Ability to maintain confidentiality regarding student and staff situations and sensitive school and district information.
- Must be willing to attend training throughout the school year at the Regional Service Center or at another RMA campus, if requested to do so.
- Proven ability to work in a polite and friendly manner and relate to a variety of constituencies, including, but not limited to administrators, parents, teachers, students, other school staff, and school visitors.
- Must have proper, positive, and professional communication skills. This includes excellent verbal and written communication skills.
- Possesses excellent organizational skills.
- Such alternatives to the above qualifications as the district may find appropriate and acceptable.
ESSENTIAL PERFORMANCE RESPONSIBILITIES:
- Places and receives telephone calls, fields questions and records accurate messages.
- Assists students, parents, staff, and visitors in a pleasant and professional manner. This also includes; being open and respectful regarding all requests from staff, parents, students, and other stakeholders as needed.
- Formats, composes, and types various correspondences, reports, notices, and other documents using MS Word or Excel. Reviews documents for accuracy and completeness.
- Compiles operational statistics and other data as assigned.
- Produce and submit internal reports, as assigned by the Director of Academics, Director of School Leadership, Director of Special Populations in a timely manner.
- Travel and Calendar management for Director of Academics, Director of School Leadership, Director of Special Populations & Program Coordinators.
- Maintain all appropriate personnel files at the district-level in accordance with District guidelines and policies.
- Maintains office equipment and supplies.
- Opens the mail, distributes, and processes incoming correspondence.
- Actively participates in the planning and preparation of district-wide activities, but not limited to, photocopying and faxing in support of the Executive Director and program staff.
- Performs such other tasks and assumes such responsibilities as the Director of Academics, Director of School Leadership, Director of Special Populations may from time to time assign or delegates.
- Preparing and sending correspondence to parents as directed by the Director of Academics, Director of School Leadership, Director of Special Populations & Program staff.
- Reviewing & processing travel reimbursements for principals & the academic leadership team
- Fulfilling student academic achievement records requests district-wide
- Assist finance specialist every payroll, in collecting time related information from Academic Department & Campus leadership for review, corrections & approval
- Process purchase orders and make travel arrangements for Academic Department and Campus Leadership as needed
