A leader in the Commercial Construction industry is seeking an experienced Administrative Assistant to work with a Senior Project Manager and Accounting to join our growing team.

Qualifications/Skills:
• Minimum of 5 years of verifiable Commercial Construction experience, preferably as an administrative Project Manager Assistant
• Office experience in Microsoft Office (Excel, Word, & Outlook), strong familiarity with project management software (Sage 100 Contractor)
• Knowledge of Commercial Construction Principles/Practices required
• Excellent written and oral communication skills
• Ability to take initiative and prioritize daily tasks with interpersonal skills
• 3 plus years of Accounting knowledge
The Ideal Candidate will be responsible for the following:
• Work with customers to prepare AIA contracts
• Assist Project Manager with new client setup and file preparation.
• Prepare Permit Applications, Certificate of Occupancy Applications, plans, and items required for permit submission in multiple cities.
• Prepare, verify, edit and process subcontracts, purchase order, and change orders
• Prepare and manage Master Subcontractor Agreements and documentation.
• Coordinate and assist superintendents with scheduling signage, dumpsters, portables, and equipment rental for projects
• Resolve project and contract issues with clients and subcontractors.
• Perform some project management functions as needed to expedite projects, i.e. process submittals, manage submittal log, Request for Information (RFI) log, etc.
• Prepare and maintain weekly Meeting Minutes along with superintendent assignments and project permit status report.
• Collect, prepare, and send out Closeout Documents to clients.
• Assist with client Prequalification Documentation.
• Assist Accounting with monthly Accounts Receivable Billing.
