Job Title Summary:
We are seeking a highly organized and proactive Workplace Experience Office Manager to oversee the smooth operation of our office environment onsite in our Lehi, UT office and remotely for our Bellevue, WA. office. Provide administrative assistance when needed to our leadership team within the product organization (XPM) which includes Engineering, Product Management, and Support. The ideal candidate will be a dynamic individual capable of multitasking, problem-solving, and maintaining a professional and efficient office atmosphere. This role requires a keen attention to detail, excellent communication skills, the ability to prioritize multiple tasks, operate well in a fast-paced, ever-changing environment, and handle confidential information with discretion.
This position is based in our Lehi, UT office and reports to the Executive Assistant to XPM executives.
What you will do:
Office Management:
- Maintain office services by organizing office operations and procedures.
- Monitor and manage office supplies inventory, anticipating needed supplies, evaluating new office products, and placing orders for both Utah and Washington locations.
- Ensure office equipment is properly maintained and serviced.
- Coordinate with building management for facility-related issues and building vendor management.
- Serve as a Receptionist and point of contact to meet/greet and assist guests.
- Oversee office cleanliness and organization to maintain a professional environment.
- Assist in organizing monthly office lunches for the team and meetings.
- Streamline process to mimic HQ for visitors traveling into the office.
- Manage shipping, receiving, and maintaining mail.
- Monitor badge & temporary badge access, meeting room and offsite requests for both locations.
Administrative Support:
- Provide high-level administrative support to leadership as needed, assisting with calendars, scheduling meetings, and arranging travel.
- Assist with the onboarding process for new employees, including coordinating orientation schedules and setting up workstations, and sending new employee swag.
- Work alongside EA to coordinate XPM organization and in office meetings, event details and logistics, preparing agendas, and arranging catering as needed.
- Help prepare, organize, and ship swag for thank you & appreciation gifts, team meetings, and cross functional requests.
- Expense management duties, including submitting expense reports and receipts promptly.
- Project work, as needed to support team goals.
- Handle confidential and sensitive information with integrity and discretion.
- Perform other duties as assigned.
What you will need:
- Proven experience as an office manager, administrative assistant, executive assistant, or similar role.
- Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Experience with events, hosting executives, and driving culture initiatives.
- Effective communication skills, both written and verbal, can interact professionally with individuals at all levels.
- Attention to detail and problem-solving skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
