GENERAL SUMMARY
Answer phones and greet visitors to the facility. Assist residents with directions and requests as necessary. Provide overall office and administrative assistance to the Marketing Manager, Business Office Manager and Administrator. To actively seek tasks & remain productive.
JOB FUNCTIONS
- Assist with answering phones, directing messages, and answering telephone questions.
- To regularly do assigned task such as copying, filing, organizing or other assignments delegated by the Administrator.
- Welcome visitors and be available to answer questions from residents or guests and direct them within the facility.
- Be informed of schedules and groups for facility originating from within the facility or from outside sources.
- To act as a back up security and safety representative, monitoring the front doors and the inner facility communication system. Should never leave the front desk unattended.
- Assist with Personnel transactions, such as applications, name tags, or other requests.
- Computer input or computer generated memos, letters, etc.
- Notifying Food Staff Managers of any meal request or changes from the Resident Families.
- To give tours to visitors as requested or necessary.
- Maintain positive relationships and frequently interact with Windsong at Southridge residents and families. Serve as liaison between residents and their financial services and healthcare providers as well as Social Security.
- Handle clerical duties, which include heavy filing, incoming phone calls and messages, outgoing mail processing, and correspondence. Frequently transport mail, packages and supplies between buildings and run occasional car errands.
- Perform other office and administrative duties as assigned by Windsong at Southridge Business Office Manager and/ or Administrator.
INTERPERSONAL CONTACTS
To be a positive representative of the facility to all public and internal contacts.
JOB SCOPE
This job has recurring work situations with occasional variations from the norm. Duties involve moderate degree of complexity due to the needs of the Organization. Duties are under the direct supervision of the Administrator and Business Office Manager with established procedures and guidelines. Errors in accuracy, judgment, and level of professionalism effect the smooth and efficient operation of the department, ultimately impacting Residents, management and staff trust levels.
SPECIFIC SKILLS
- A Desire and appreciation of working around Senior Citizens.
- Ability to work in an organized, neat, and timely fashion.
- Ability to work alone or closely with others as a team.
- To have an understanding of how Office duties influences marketing.
- Sufficient training, knowledge, education, and experience or some combination of, to allow for a high degree of performance and quality assurance.
- To be able to handle multiple phones in an efficient, friendly manner.
- The ability to give tours in a friendly, informative manner.
- Flexibility to work any day on the calendar including weekends, holidays, and evening hours as necessary to best meet the needs of prospective and current residents.
EDUCATION AND/OR EXPERIENCE
- High School Diploma or Equivalent
- At least one year of previous office/reception experience preferred
