When our prospective clients call us for help, they're often going through an emotionally difficult period. Our Intake department provides our potential clients the ultimate telephone experience. It requires the right combination of telephone skills, empathy, and ability to investigate to the root of their legal issues.
This role is for a weekend shift, Saturday and Sunday 9 a.m. to 9 p.m. We are open to filling this shift with multiple individuals covering with different schedules. There would be a training period, which would take place in the Beverly office (10008 S. Western). During the training period, the schedule is Monday through Friday 9 a.m. to 5 p.m. The position can be fully remote, including training, for those with prior personal injury intake experience.
Job purpose
The Intake Assistant is responsible for a wide range of legal and administrative tasks. They will assist with various activities such as data entry, communication, scheduling, and general day-to-day duties. Additionally, this role provides support for contact efforts and plays a vital role in acquiring new clients. The Intake Assistant employs critical thinking skills to analyze information obtained from callers and determines the appropriate next steps. It is essential for the individual to work effectively in a professional team environment to ensure a seamless intake process.
High conversion rates are maintained by meeting key performance indicators (KPIs), achieving good conversion rates and promptly following up on leads, as well as successfully performing the below duties and responsibilities.
Duties and Responsibilities
- Support the Intake team with the workload and varying tasks as assigned.
- Ensure that every potential client is accurately and promptly documented in our case management system, ensuring data integrity and confidentiality.
- Prioritize immediate contact with leads to ensure a prompt response and capitalize on potential client interest.
- Collaborate with the intake team to implement efficient lead follow-up procedures and ensure no lead is left unattended for an extended period.
- Conducting comprehensive interviews with potential clients following applicable scripts to gather essential information, including accident details, injuries sustained, medical treatment received, insurance coverage, and any related documentation.
- Assessing the viability of personal injury claims based on existing firm criteria by reviewing intake information, identifying legal issues, and determining the potential strength of each case.
- Effectively guiding potential clients through the intake process and persuasively communicating the benefits of our legal services.
- Consistently meet or exceed monthly goals for completed intakes and case documentation.
- Actively engage with potential clients during the intake process to build rapport and trust, maximizing the likelihood of conversion.
- Utilize effective communication techniques to clearly explain the firm's services, expertise, and value proposition to potential clients.
- Identify and address any concerns or objections potential clients may have, aiming to overcome barriers to conversion and secure their representation, including escalating the conversation to senior intake staff or an attorney.
- Escalate evaluation of potential client cases to senior intake staff or attorneys to ensure that they meet our case criteria standards.
- Follow up with potential clients to schedule appointments for in-person sign up/consultation.
- Maintain potential case appointment calendar. Call all no-show appointments the same day as their missed appointment and continue to follow-up.
- Prepare potential client intake paperwork and ensure appropriate forms are sent for signature, whether for electronic signature, in person or postal mail.
- Assist new clients with completing paperwork, ensuring that all intake forms are properly signed and filed.
- Ensure that the required documents are saved in the case file, such as contracts, police reports and photos.
- Assist with opening, reopening and updating intakes in our case management system.
- Ensures protocol is followed for handoff of new cases to the next department.
- Demonstrates the ability to use standard office equipment, such as telephones and computers.
- Follow up with attorneys to which cases have been referred by confirming contact between client and referral. Email contract or medical authorization to referring attorneys. Follow up on copy of attorney contract reflecting referral.
- Communicate to incoming attorney referrals if we decline case or we have been unable to reach potential clients.
- Perform other possible duties and special projects as assigned.
Requirements:
- Must speak and read Spanish fluently.
- Exceptional attention to detail and accuracy.
- Strong organizational skills.
- Conveys confidence on the phone.
- Can set the tone and the pace of the client phone call.
- Shows empathy to clients and puts them at ease during their difficult time.
- Demonstrates exceptional customer service and communication skills, both in writing and verbal.
- Proficient in Microsoft Office and database entry.
- Inbound sales experience is a plus.
- Plaintiff personal injury experience a plus.
