Job Description
California Health Advocates is looking for a .75 FTE Volunteer Coordinator (VC).
Under the direction of the SMP Project Director, the ideal candidate must have strong interpersonal skills with a diverse group of people, experience managing or coordinating multiple projects and volunteers. Candidate must have at least 5 years of progressively responsible administrative experience and proficient in MS Office applications.
The VC plays a crucial role in developing and implementing recruitment ideas and strategies, screening, training, and managing volunteers, working collaboratively with statewide partners, and maintaining volunteer retention and recognition.
Primary Responsibilities as Volunteer Coordinator
1. Volunteer Recruitment and Development
• Responsible for researching, developing, and implementing recruitment campaigns, strategies and workplans to enlist more SMP volunteers throughout the state.
•Responsible for spearheading recruitment strategies and action steps within the position’s purview, document measurable outcomes and repeat successful recruitment campaigns if possible.
•Actively engages with current volunteers and replies to volunteer inquiries from the public interested in becoming a SMP volunteer through email and/or phone.
•Maintains a continuous database of potential volunteers that might be interested in becoming a SMP Team Member/Volunteer and communicating with them twice a year.
•Develop a volunteer packet to email to potential volunteers and create three different types of levels of introducing volunteers to the SMP program.
•Establish a mentor program for the SMP Team Members and build a Performance Management System.
2. Screening and Training Volunteers
•Screening prospective volunteers statewide by reviewing their initial assessment application, conducting a virtual or phone interview with them, verifying personal references, and conducting background checks.
•Responsible for maintaining volunteer records and documents by keeping them organized and up to date according to the SMP program guidelines.
•Provide guidance and assistance to volunteers with the TRAX and SIRS databases.
•Assist with developing training policies and procedures for volunteers.
•Track the volunteers training progress to make sure they have completed the mandatory training sessions required by Administrative Community Living (ACL) and qualified to represent the SMP program.
•Coordinate SMP orientations with potential volunteers statewide.
•Collaborate and help the SMP partnerships with training SMP volunteers according to the Volunteer Risk Program Management (VRPM) manual and SMP Resource Library.
3. Volunteer Retention and Recognition
•Assist with developing volunteer surveys to determine best practices for training and supporting SMP Team Members twice a year.
•Develop a volunteer retention plan to keep trained SMP Team Members actively volunteering for the program. Along with recognizing their commitment and efforts to excel in the program.
•Interview and draft SMP volunteer spotlight articles to go in agency newsletters (at least bimonthly - 6 per year).
•Assist with planning and coordinating the annual Volunteer Recognition event.
•Supervise SMP Volunteers to make sure they are performing satisfactory or better. Document their progress in the individual volunteer files.
Qualifications / Experience:
•At least five years of progressively responsible administrative experience.
•Ability to manage multiple tasks.
•Proficiency in ‘Microsoft Office’ database and spreadsheet software applications.
•Ability to work independently with minimal supervision and carry out assignments to completion with minimum instructions.
•Ability to work in a team environment and routinely keep in communication with staff, volunteers, SMP partners and CHA members located throughout California related to Senior Medicare Patrol.
Compensation / Hours:
Part Time (30hrs per week)
Starting Rate- $50,000/yr
