Sourcewise is seeking a full-time temporary Activities Coordinator in the Community Development Department. The position is responsible for the planning and coordination of intergenerational activities with youth and adult volunteers to support older adults ages 60+ in the community who may be experiencing social isolation and loneliness as a result of the COVID-19 pandemic. This is a temporary position through December 2023.
The ideal candidate for this role enjoys working with the public, has effective communication skills, highly organized, ability to coordinate multiple projects, pays special attention to detail and a strong desire to learn and develop their skill set. You work well within a team and independently with minimal supervision. You have an interest in volunteer outreach, planning and coordination with individuals, corporate and community partners.
The Activities Coordinator is passionate about helping others and is committed to bettering the lives of older adults, caregivers, and people with disabilities. The work schedule is Monday to Friday, 8 a.m. to 5 p.m. and up to two Saturday mornings during busy seasons. This position is ideal for someone who is outgoing, positive, motivated, has excellent customer service and administrative skills.

Requirements
- Associate degree or higher
- Proficient in Microsoft 365, Excel, Word, MS Teams and PowerPoint
- Experience working with volunteers (1 year)
- Customer service experience
- Valid CA Driver’s License

Essential Responsibilities
- Spearhead volunteer education, outreach and recruitment to community and corporate groups, follow-up with leads, coordinate and host trainings.
- Coordinate volunteer projects and engagement activities.
- Track volunteer onboarding and exit process.
- Collect, input and report volunteer program data in the database.
- Provide excellent customer service.
- Maintain a calendar for volunteer projects, trainings and reconcile volunteer timesheets.
- Update the volunteer operations manual as needed.
- Administer evaluation tools for volunteers and prepare, disseminate, and analyze results of volunteer feedback survey.
- Recognize and thank volunteers.
- Collect volunteer success stories and photos and videos for organization’s marketing and publications, such as our newsletter, website, social media pages and more.
- Work in collaboration with Community Outreach Specialist II to meet volunteer program needs.
- Assist with planning and execution of volunteer events.
Program Administration
- Plan, track, coordinate, and manage all volunteer outreach and education efforts.
- Responsible for reporting/tracking outreach, volunteer data and activities on a monthly, quarterly and annual basis.
- Screen, onboard, train and support volunteers.
- Solve problems by seeking out and considering data, ideas and your own experience
- Innovate new ideas that add value to the volunteer program and to Sourcewise in general.
- Track project performance to analyze the successes and challenges of short-term and long-term project goals; evaluate performance; and develop processes to enhance project outcomes.
- Not all primary responsibilities listed will be required to immediately be performed. The coordinator will have the opportunity to grow and develop skills by taking on additional duties.
Availability
Twenty (20) hours per week Mondays to Fridays, between the hours of 8:00 am – 5:00 pm., in our office located at 3100 De La Cruz Blvd, Suite 310, Santa Clara and up to two Saturdays per month of weekend work as needed. One hybrid work from home day per week. Final schedule to be confirmed.
Reporting and Working Relationships
The Community Outreach Specialist I reports directly to the Director of Community Development. Works closely with the Community Outreach Specialist II and Community Outreach Specialist I and other department staff as approved by the Director.
