Job description

SCOPE: Reporting to the Chief Operating Officer (COO), the Vice President (VP), Strategy & Operations will act as a delegate and deputy as required and will be fully accountable for fostering the COO’s vision while being fully committed and responsible for driving cost effective solutions. This position requires working effectively and collaboratively with senior leaders in operations and departments across the organization with accountability for Operations division engagement, change and project management. And serves as the primary point of contact and liaison for the strategy of the Operations division.

DELIVERABLES:
1. Serve as a member of senior leadership team. Be a thought partner to the COO, and advise on projects, programs and operations that impact the organization’s mission.
2. Collaborate across and unify the division through relationship building and Operations division employee engagement.
3. Drive engagement and satisfaction in building a trusting relationship with multiple stakeholders (including vendor management).
4. Develop a deep understanding of the stakeholders’ needs and expectations to develop meaningful solutions that align with the COO’s vision.
5. Provide direct oversight, management, and supervision of cross-collaborative process improvement, vendor management, and other initiatives.
6. Develop standard approaches to operations change; project and performance management including the development of key performance indicators and tracking to support the direction and implementation of operations programs and projects; and for providing and promoting problem analysis and resolution at both a strategic and functional level.
7. Engage with leaders on behalf of the COO as needed, including VPs and peers to ensure a culture of compliance, efficiency, effectiveness and excellence.
8. Optimizes and develops the department’s talent to meet current and future needs as well as supporting the career development of team members.

RESPONSIBILITIES:
  • Collaborate with senior leaders to improve and standardize processes that drive productivity and quality across operations.
  • Provide strategic guidance and oversight of program implementation and operations in collaboration with leaders and stakeholders. Specific tasks may include defining the program structures and systems, designing and executing program procedures, and ensuring that the project is always on track to achieve its goals and outcomes.
  • Endeavor to provide “best-in-class” support and ensure that our internal partners have an integrated and consistent experience. Develop, learn from, and measure our performance.
  • Download, synthesize, and translate data for leveraging qualitative and quantitative insights to drive decision-making and operations strategy.
  • Ensure that our processes, standards and policies are clear and engage staff as mutual partners in their development.
  • Identifies, recommends and implements new processes, technologies and systems to improve and streamline organizational procedures.
  • Develop and communicate transparent, consistent, and equitable processes to ensure the best possible experience for staff.
  • Foster an environment that ensures a high level of organizational effectiveness and communication.
  • Support and coordinate on behalf of COO in Board relations as appropriate.
  • Support COO in ensuring integration and connection between programs and operations teams.
  • Focus on Operations process improvement opportunities, assess potential gains, prioritize and propose action plans and timeline.
  • Define strategies and plans for how Operations manages and prioritizes work.
  • Support the development of consistent project planning, coordinate projects, communicate changes and progress, and complete projects on time and budget.
  • Regularly and systematically evaluate the results of overall operations performance and report results to the COO.
  • Monitor and analyze program and performance data.
  • Own division-wide engagement of managers and staff, including quarterly and semi-annual meetings, including planning staff retreats and helping to craft agendas and communications.
  • Execute and improve our strategic efforts around automation and labor optimization.
  • In collaboration with COO and Chief People Officer, assess training and development needs, and plan for activities that enhance technical and leadership capabilities and drive improved employee engagement and performance.
  • Other duties as assigned, special initiatives, and projects.

MIMIMUM REQUIREMENTS:

  • 10-15 years of professional experience with 4+ years of Operations program management/project management experience and strategic thought leadership particularly across complex projects involving multiple partners and the development and use of data and key performance indicators to manage program performance.
  • Demonstrated experience in designing and implementing change and project management strategies and plans.
  • Demonstrated experience management and navigating Board relations.
  • Ability to manage and react to confidential information with discretion and sound judgment with the capability to always maintain professional conduct and demeanor, exhibiting high levels of emotional intelligence.
  • Advanced proficiency in the use of Microsoft Office Suite, Google Suite and other office or project management efficiency software or systems.
  • Strong decision-making ability and proactive attention to detail; anticipating issues and needs.
  • Ability to work under minimum supervision using initiative and independent judgment.
  • Highly organized individual with advanced experience or education in the use of change and project management tools and methodology.
  • Ability to collaborate, work with, and communicate effectively with leaders and other peer organizations in matters of operations trends and best practices.
  • Ability to work in a fast-paced environment.
  • Ability to work independently, as well as in a team-based, highly collaborative environment.
