CNFA is recruiting a temporary Travel Management & Administrative Coordinator to support our operations worldwide. The incumbent will be a member of the Safety and Security Team and be the primary point of contact for CNFA staff to arrange international and domestic travel. The incumbent will work directly with CNFA Travel Management service provider in coordinating timely and cost-efficient travel.
PositionOverview
The Travel Management & Administrative Coordinator will provide administrative backstopping support to our staff globally. This position reports to the Associate Vice President, Security Risk Management and will work on a dynamic team with a mandate of providing organizational security/safety risk management with a focus on travel risk management. This position is assigned to the CNFA Washington, DC office and the location of the incumbent is flexible to be hybrid, in-person or fully remote. If fully remote, the candidate must be able to work within CNFA's core business hours of 8:30AM - 5:30PM EST.
Qualifications:

  • Self-Starter with experience in Travel Management operations. Familiar working with travel agency experts and facilitating vendor-client relationships. Act as a focal point for CNFA's travel agency and use travel booking interface (RezDesk & Concur);
  • Maintain vendor-client relationship while ensuring CNFA policies are followed. Act as a focal point for staff in need of travel assistance;
  • Experience booking complex international travel in an NGO setting a plus;
  • Excellent people skills and emotional intelligence required for this position;
  • Be a quick learner on all topics specifically related to U.S. government and CNFA's policies and procedures on international air travel and travel risk management;
  • Ability to multitask and handle competing-priorities in a fast-paced environment, while staying organized and paying attention to detail;
  • A bachelor's degree is preferred but not required;
  • Good oral and written communication skills;
  • Ability to work independently and in a collaborative, team environment; and
  • Excellent computer and technology skills, with familiarity on Microsoft Office Suite (i.e., Word, Excel, Teams).

Job Requirements
General Responsibilities:
  • Prepare travel logistics for CNFA DC Office staff, including the executive team members, consultants and other domestic and international travelers as required. This will include and may not be limited to coordinating flight and hotel reservations, facilitating procurement of visas for travelers; sending and receiving required paperwork, and giving advice on requirements for travel, troubleshoot and resolve any travel-related issues or emergencies that may arise before, during, and after the trip;
  • Act as a focal point for CNFA's visa service provider and to staff for providing visa application guidance. Ability to use open-source references as it relates to visa requirements to provide accurate visa guidance to CNFA staff. Ensure compliance with US government regulations (Fly America/Open Skies), internal policies and procedures;
  • Actively track all employees traveling and conduct communication checks with travelers; maintain accurate and updated records of travel bookings, payments, and documents;
  • Update traveler Information, as appropriate;
  • Assist in maintaining a SharePoint page with Travel Management related materials and policies;
  • Provide administrative backstop for the Safety and Security Team;
  • Need to be available during off hours when there is a travel related emergency; and
  • Other duties as required supporting the safety and security team and Travel Management activities with other projects.
