Position Overview
Second Stage Theater seeks a Temporary Special Events Assistant to provide general and specialized support to the Special Events team within the larger Development Department at one of New York’s premier not-for-profit theater companies. Development is responsible for raising funds to support the organization’s award-winning artistic programming.
The Temporary Special Events Assistant is a core member of the Development team and reports to the Director of Special Events. They will assist in the planning and execution of all fundraising events, including the annual Gala and All-Star Bowling Classic, as well as all Opening Nights, donor cultivation events, and Board events.
The Temporary Special Events Assistant is a full-time (40 hours per week) temporary position, beginning on or around March 18, 2024, and ending June 28, 2024.
Essential Duties & Responsibilities
- Manage event supply needs and inventory
- Generate and maintain Special Events invite lists, RSVPs, follow-ups, and confirmations
- Coordinate solicitations of in-kind donations and sponsorship prospects
- Process all Special Events-related gifts
- Research event attendees and sponsors and generate event face books
- Research event venues and vendors
- Correspond and maintain relationships with donors, including Board members and high-level donors
- Brainstorm and facilitate new fundraising opportunities
- Represent the Development Department at fundraising and cultivation events
- Work with the Director of Special Events and Special Events Manager on organizing solicitation efforts, Special Event performance ticketing, and cultivation event execution
- Perform other duties to support the Development department, as assigned
- At least 1 year of internship or professional experience in fundraising or events preferred
- Excellent verbal and written communication skills, strong attention to detail, and the ability to exercise good judgment and decorum in all interactions
- A positive attitude, concern for other people and community, presence, self-confidence, and the ability to listen
- Excellent time management skills along with ability to work independently and collaboratively
- Computer experience including Microsoft Office suite
- Knowledge of nonprofit database software preferred (Tessitura experience strongly preferred)
- Ability to work evening and weekend hours, as required
