TEMP-TO-HIRE DEPARTMENT ASSISTANT, CORPORATE OPERATIONS
The Corporate Operations department is seeking a Department Assistant/ Project Coordinator. Responsibilities will include executive and general administrative support as well as project management related tasks. Our ideal candidate has exceptional attention to detail with a high level of accuracy, a strong work ethic, is proactive and customer-service oriented. Proficiency knowledge of Microsoft Office is required (e.g., Word, Excel, Power Point, MS Teams, Outlook). Experience in business administration is a plus.
RESPONSIBILITIES:
- Position is based in Carlsbad and interacts with employees remote and hybrid in support of the department, namely of the Launch Excellence and Planning (LEAP) team
- Manage Department and Team Calendars
- Manage all aspects of travel (domestic and international) and prepare expense reports
- Manages all logistics for key department initiatives, namely launch planning related initiatives (e.g., space, people contact lists, travel plans, meals, etc.)
- Management of departments contracts (via Conga), purchase orders (via Coupa), and consultant privileges requests and maintenance (via Conga)
- Provides support to project management related activities such as:
- meeting notes (OneNote)
- maintenance of action and decision logs
- manage department related share point sites including access permissions
- manage MS Teams Channels
- Proofread and curate materials for presentations as required
- Liaison with Finance for invoices processing and payment
- Manage and maintain extremely confidential/sensitive matters
REQUIREMENTS:
- Above all else this position requires a professional demeanor, sense of urgency, and the ability to keep sensitive material and conversations strictly confidential
- Expert level written and verbal communication skills, and strong problem-solving, decision-making ability and attention to detail are equally important
- Familiarity and comfort with business-focused presentations and materials is required
- Strong work history in a corporate environment, with experience supporting a biotech/pharma commercial environment
- Excellent organizational skills
- Critical eye to detail and the ability to work on multiple projects simultaneously
- Ability to exercise good judgment and determine priorities
- Ability to take initiative and work well under pressure
- Polished and articulate with strong interpersonal skills
- Ability to interface with high level internal and external contacts requiring discretion and initiative
