The Event Planning Manager's primary focus is servicing Sale bookings. This position acts as the liaison between Meeting Planners and the hotel staff. Responsibilities include: administering the Sales agreement, detailing all Food, Beverage and A/V needs, managing room blocks and pick up, billing instructions and final review. Event Planning Managers also are the on-site contacts and are responsible for the smooth execution of all events.
Job responsibilities
Is fully conversant in Envision, EMS, EAS, Passkey, Opera and Reserve
Maintains accurate account profiles in Envision to the standards Identified by Hyatt
Ensures that all group and event leads are entered in to EnvisionIs familiar with Hyatt approved group and event contracts and ensures that these are pre-approved before sending to a customer for signature
Creates Group and Event Resumes to accompany Event Orders
Creates Floor Plans for all events managed by the Event Sales Manager
Ensures that all groups and events details are entered correctly into EMS and EAS
Completes detailing of Group and Event Orders In EMS and ensures that all Group and Event Orders are communicated to Operations at least four weeks prior to arrival
Ensures that any third party invoices relating to events are gained prior to the group or events departure and that all charges are passed on to the client
Prepares and sends bespoke proposals addressing customer needs and requirements.
Responds to customer enquires within 24 hours, as per Hyatt brand standards
Follow up on all requests and proposals on a timely basis
Meets with group and/or event organizers on a daily basis to ensure that the customer is completely satisfied with the event operation.
Is entirely familiar with the resort menus, ingredients, and menu item profitability
Is entirely familiar with resort beverage offerings
Has a complete understanding of GEM and is able to add entries through Opera
Closely monitors NPS and Meeting Planner surveys.

Qualifications
A true desire to satisfy the needs of others in a fast-paced environment. Refined verbal and written communication skills
A minimum of 1-3 years of hotel event sales/EVENT PLANNING or comparable experience preferred
Must be proficient in general computer knowledge
Candidates should be extremely detail oriented, organized and be able to handle a fast paced environment
Prefer two years hotel experience or completed Event Management trainee program
Preferred candidate has completed PSS or equivalent training
