Surgery Scheduler

Job Description

The Surgery Scheduler provides exceptional customer service while scheduling all surgical procedures. They will assure that all the appropriate clinical and insurance coding information is collected prior to the date of service and that equipment and anesthesia has been coordinated accordingly. Additionally, they will establish and maintain positive relationships with providers and their surgery coordinators as an extension of the Business Development team.

• Completes co-pay calls to patients to effectively provide payment instructions, arrival time, coordinate pre-surgical preparations, and address any concerns.
• Confirms patient information, insurance details, and surgical/equipment requirements.
• Works closely with administrative and clinical teams to: optimize the surgical scheduling process, minimize delays, anesthesia coverage, and equipment needs.
• Transmits documentation to necessary parties via email, facsimile, or mail, in accordance with company policies and all medical practice regulations, such as, but not limited to HIPAA/HITECH

.•Enters scheduling data into Vision Scheduling Program.

• Maintains and updates physician roster with schedulers and office management contact information.
• Monitors OOP monthly and follow up with the doctor’s office if any changes occur.
• Conducts thorough follow-ups on authorizations and re-verifications in accordance with the guidelines outlined in the Prime App.
• Captures new scheduling requests by using Approved Not Scheduled reports and other resources.
• Attends scheduled networking events.
• Establishes and maintains relationships with providers and their surgery coordinators.
• Provides outstanding customer service to patients and providers' office staff, ensuring their needs are met and exceeded.
• Responds to all communications – phone calls, e-mails, etc. - in a timely manner
• Submits weekly reports as requested by management.
• Addresses and resolves scheduling issues as they arise.
• Promptly escalates issues to management for strategic resolution and guidance.
• Maintains HIPAA confidentiality standards at all times.
• Coordinates lunch deliveries for providers' office staff.

Skills and Qualifications:

• Minimum of 1-year medical assistant/front office experience/surgery scheduling
• Effective communication and collaboration skills
• Ability to prioritize tasks and manage time efficiently
• Excellent problem-solving and decision-making abilities.

Preferred Qualifications:

• Satisfactory Completion of Health/Drug Screening
• Proof of legal US work eligibility
• Reliable Transportation
• Valid AZ Class C Driver’s License
• Ability to travel to external meeting locations, away from facilities and corporate locations

We also offer paid bereavement leave in the event of a close family member passing away.
