The primary purpose of the Supervisor, Clinical Research Finance (Post-Award) position is to provide expert-level knowledge, oversight, and financial management of the research patient care costs management and payment documentation for all clinical trials and managing the studies within the Clinical Trial Management System (CTMS) and the Electronic Health Record (EHR).
JOB SPECIFIC COMPETENCIES
Supervise Sponsor Invoicing & Payables Processes and Teams (60%)
- Creates, documents, and implements business processes for all clinical trial sponsor invoicing and research payables workflows, including but not limited to entering negotiated study budgets and payment terms, creating sponsor invoices, applying payments, communicating with sponsors to seek payment for completed activities, reconciling invoices and payment within and between financial systems, and processing payment for patient care costs.
- Oversees the study record management, maintenance of research patient care discount groupers within Epic, and the research expenses database.
- Processing monthly reports for hospital and professional billing expenses associated with research patient care expenses for sponsored, internal, and institutional funding mechanisms.
- Oversees the financial data audits, reporting requirements, and report preparation for the financial review and closeout processes.
Strategic Planning and Quality Improvement (15%)
- Identifies opportunities for improvements to all sponsor invoicing-related activities. Establish a regular review process for existing activity and create and implement improvements to address both efficiency and quality.
- Assists in strategic planning for institutional initiatives associated with the financial management of sponsored research and ensures compliance with federal, state, and institutional standards and regulations.
- Collaborates with central office leadership, investigators, study teams, and industry sponsors to ensure compliance with Clinical Research budgeting and institutional and sponsor guidelines.
Mentoring, Subject Matter Expert, and Education (25%)
- Develops invoicing and payables tools and facilitates training sessions for study teams, sponsor invoicing, and research payables team members.
- Facilitates bi-monthly training course for research patient care expenses and grants access to departmental Epic work queues to newly onboarding institutional staff
- Facilitates Adhoc in-services for institutional Clinical Research financial staff to reduce errors associated with clinical trial financial management.
- Acts as the liaison for the OneConnect teams and CRF for EHR project support by identifying workflow and reporting issues, and new initiatives associated with improved functionality and logic changes.
- Collaborates with other financial and budgeting teams as needed to improve both the efficiency and quality of budget-related activities.

Education
Required: Bachelor's degree.
Experience
Required: Five years of professional research administration experience to include two years of clinical, regulatory and/or financial experience in a healthcare, scientific or academic setting and two years of project management, lead or supervisory experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, three years of required experience and two years of project management, lead or supervisory experience.
