The Santa Clarita Community College District/College of the Canyons is seeking two (2), full time (40 hours per week) Student Services Technician I (Empowerment Programs) positions in the Student Services Division on the Valencia Campus and one (1), part-time (72.5%) (29 hours per week) position Student Services Technician I (Empowerment Programs) in the Student Services Division on the Canyon Country Campus.
OVERALL RESPONSIBIILITY:
Under the direction of the Director of EOPS/CARE, CalWORKs and Inspire Scholars/NextUp, the Student Services Technician I (Empowerment Programs) perform a variety of specialized duties in providing support to EOPS/CARE, CalWORKs, and Inspire Scholars/NextUp students; performs other related duties as may be assigned.
The Student Services Technician I perform student reception and general advisement, specialized clerical and office support functions. Duties include but are not limited to: student communication, developing correspondence, record keeping, monitoring student applications, maintaining student records, problem solving, and performing specific related student service projects. Performs other duties as assigned.
Salary Placement:
Student Services Technician I (40 hours per week)

Salary placement will be on Range 22 of Classified Represented Salary Schedule B.
Initial salary step placement for new employees is customarily at step 1, 2, or 3 ($5,022.00 / $5,301.00 / $5,606.00 per month) of this 20-step salary range.
Student Services Technician I (72.5%) (CCC) (29 hours per week)

Salary placement will be on Range 22 of Classified Represented Salary Schedule B. Initial salary step placement for new employees is customarily at step 1, 2, or 3 ($3,640.95 / $3,843.23 / $4064.35 per month as prorated) for the part time (72.5%) position of this 20-step salary range.

Probationary period for new Classified employees is six months. Work year is 12 calendar months. The normal workweek for these positions is 40 hours for the full-time positions and 29 hours for the part time position. Paid holiday, discretionary, and sick time are provided. Ten vacation days accrue during the first year of employment. For the part-time position, this will be pro-rated based on hours worked. A regular work schedule will be assigned, with the ability to occasionally work a flexible schedule as needed with supervisor approval.

Example of Duties

Essential Duties:
The duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment to this class.

  • Provides customer service to students and serves as a clerical support and receptionist for department answering phones/emails and directing inquiries. Picks-up and distributes incoming and outgoing mail, and reviews incoming office correspondence.
  • Serves as the technical expert of one of the Empowerment Programs (EOPS/CARE, CalWORKs, or Inspire Scholars/NextUp) for students, staff, and the community. Maintains knowledge in technical facets of activities and services for assigned program. Learns, understands, interprets, and applies federal, state, and/or District regulations, laws, legal mandates, policies, rules, and guidelines to a variety of operational procedures, and eligibility requirements relevant to the assigned EOPS/CARE, CalWORKs, and Inspire Scholars/NextUp component.
  • Processes, verifies, and completes appropriate EOPS/CARE, CalWORKs, or Inspire Scholars/NextUp documents; assesses student needs, troubleshoots, and provides direction to students for necessary forms and applications; verifies enrollment information; assists with interviewing and advising students concerning program eligibility; interprets requirement procedures; screens students for readiness to meet with the Director or other department staff.
  • Maintains efficient office functions such as ordering office and student subsidy card supplies, preparing and processing purchase requisitions, and related fiscal forms. Assists with arrangements for conferences, travel and accommodations, travel advances and requests for reimbursements.
  • Tracks budget expenditures for assigned Empowerment Program component and provides feedback to Director regarding balances, need for transfers, and expenditure deadlines and makes recommendations for expense of funds to support assigned Student Services component.
  • Assists with outreach activities for assigned Empowerment Program component. Assists Director and/or other departmental staff with advertisement and promotion of EOPS/CARE, CalWORKs, and Inspire Scholars/NextUp programs through outreach to the community and high schools, planning and implementation of services and activities on campus. Assists in the coordination of departmental functions, workshops and special events including, but are not limited, to making room reservations, working with vendors, requesting facilities set up, ordering invitations and food.
  • Participates in staff meetings, attends specialized training when necessary and engages in professional development opportunities. Assists with updates to the Student Services’ webpages, social media platforms, Canvas shell and other outreach communications/student information for assigned EOPS/CARE, CalWORKs, or Inspire Scholars/NextUp component; develops and modifies program flyers, bulletins, and newsletters.
  • Creates and maintains confidential student files and program records for audit and program review adhering to legal guidelines. Uses appropriate District software and other related data sources to create and update student databases, requests for information, student contact information, and program requirements. In addition, uses computer applications to query the College’s student information systems for data related to EOPS/CARE, CalWORKs, and Inspire Scholars/NextUp programs.
  • Prepares and transmits correspondence for students and responds to requests from other educational institutions and local/state agencies involving the verification of records for students participating in programs, including processing information that may be of a privileged or sensitive nature.
  • Collaborates with other Student Services departments such as Basic Needs Center (BaNC), Academic Accommodations Center, Student Business Office, Financial Aid, Admissions & Records, and Counseling. Maintains communication with MIS, Information Technology and other offices as needed.
  • Composes, independently or in accordance with general instructions, a variety of correspondence and/or reports or meeting minutes for internal and external users including but not limited to department policies and procedure manuals; maintains a variety of logs, files and records; reviews and proofs for accuracy, completeness and conformance to applicable rules and regulations; controls the release of sensitive information to authorized personnel.
  • Assists Director with recruiting and interviewing potential short-term and college assistant staff. May assist with the coordination, training, and work direction for college assistants and short-term employees assigned to the department.
  • Cross-trains to serve as an information resource person to students, faculty, staff, and the community regarding EOPS/CARE, CalWORKs, and Inspire Scholars/NextUp programs policies, procedures, and practices to the extent of authority and training.
  • Maintains calendars, schedules appointments, and arranges meetings for EOPS/CARE, CalWORKs, and Inspire Scholars/NextUp director. Schedules and reminds students of counseling appointments.
  • Assists with planning, scheduling, and organization of Advisory Meetings and department workshops and services.
  • In collaboration with the Director, and other department staff, provides input in the development and update of program reviews, and related policies and procedures.
  • Serves as a liaison to appropriate local, county, regional or state schools, offices or community-based organizations in order to connect students to resources, process forms, advocate for students or otherwise provide services to students.
  • Helps support students on how to connect with eligible benefits, guides them through the process, and follows-up to ensure that students are enrolled in services/programs.
  • Performs other related duties as assigned, helps facilitate and ensure students have access to any additional support services on campus and/or the community.
  • Qualifications and Minimum Requirements

    Experience:
    Two (2) years full-time equivalent experience working in a community college, university, K-12 school, or government-regulated agency involving customer service or general clerical duties to assist the public, OR four (4) years full-time equivalent experience in another organization involving customer service or general clerical duties to assist the public. Must be proficient in MS Office Suite software applications (Word, Excel, Access, PowerPoint, FrontPage, Publisher and Outlook).
    Education:
    Education equivalent to an Associate’s degree (60 semester units) from an accredited college or university is required. Two (2) years of direct experience in addition to that identified above may be substituted for each year (30 semester units) of college.
    Desired Qualifications:

  • Previous experience with one or more: EOPS/CARE, CalWORKs/GAIN, and Current/Former Foster Youth, Unhoused students, and/or historically excluded students or similar population.
  • Associate’s degree.
  • Previous experience working with an administrative computer information management system.

    Position requires ability to:
  • Assure compliance with district, state, and federal regulations, legal mandates, policies, rules, and guidelines regarding EOPS/CARE, CalWORKs, and INSPIRE Scholars/ NextUp functions, including Title IV, California Education Code, and FERPA law.
  • Work primarily at Canyon Country Campus, and as needed, the Valencia campus.
  • Apply knowledge of modern office practices and equipment including automated word processing, record management and filing systems, and telephone techniques.
  • Demonstrate excellent student-centered service skills and ability to multi-task in a high stress, team-oriented environment.

    PHYSICAL CHARACTERISTICS:

    Position is a stationary position and requires use of a computer for extended periods of time plus frequent periods of movement from one area to another, which may include traversing to different floors of a building; operating a computer and related equipment; communicating and providing information to others; working with various materials and objects; frequently exert 10 to 20 pounds of force to move objects; may be exposed to occasional contact with dissatisfied individuals; and travel from site-to-site. In the event of an emergency, employees will be relied upon to serve as emergency workers.
