The Department of General Services (DGS) is seeking to hire a Student Assistant to assist our Statewide Travel Program (STP) in clerical and operations tasks.

Employment
This is a part-time, temporary, non-benefited, student position. Employment in all positions with University Enterprises, Inc. is dependent upon the mutual consent of University Enterprises, Inc. and the employee. This means that either University Enterprises, Inc. or the employee can, at any time, terminate the employment relationship at will, with or without cause.
Depending on the type of position you are applying for, a pre-employment background check consisting of one or more of the following may be conducted: employment history, professional references, criminal check: educational verification (degree, license, or official transcript) or DMV clearance. Applicants will be required to pass required pre-employment checks to the satisfaction of University Enterprises, Inc. (UEI) and the hiring Agency or Department.
UEI does not allow students to hold more than one UEI Job at a time, or work in more than one account per pay period. UEI employees who are considering leaving their current UEI Student assistant position for a different UEI Student Assistant positing should inform their supervisor in writing and provide at least a week's notice.
UEI is not a multi-state employer. UEI only employs candidates who live and work in the state of California. If selected for the position you must reside in California and all work must be performed in the state of California throughout the course of employment.
Prerequisites
Must be a college student attending classes during the regular term (Fall, Spring and Winter, if applicable), at one of the accredited colleges or universities on our affiliation list.

Students must be enrolled in at least: six-semester units or nine quarter units for undergraduate students; four-semester units or six quarter units for graduate students.

Work Schedule
Flexible workdays and work hours, Monday - Friday, between 8 AM - 5 PM. The final work schedule will be determined by the supervisor.
Additional Work Schedule
Student Assistant and Graduate Assistant employees generally work up to 24 hours per workweek (Sunday - Saturday) during the academic year and up to 40 hours per workweek during breaks; (winter, spring, and summer).
Minimum Qualifications
- Employees must be able to read, write, and speak clearly and concisely, multi-task, meet strict deadlines and be flexible to shift priorities and workloads to meet program goals.
- Must have a valid CA driver's license and clean driving record as the position requires driving a state vehicle to perform some business functions.
- English proficiency both verbal and written.
- Proficiency using personal computers, laptops, tablets and related software/programs, internet, standard office equipment/tools, and Outlook
- Ability to speak publicly and provide customer service, meet deadlines, and ability to prioritize multiple tasks.
Preferred Qualifications
This is a non-testing classification, therefore anyone meeting the minimum qualifications listed on the classification specification may apply for this position. Individuals who are, or have been, a dependent child in foster care, a homeless youth, or a formerly incarcerated youth as defined by Government Code section 18220 are encouraged to apply and will be given priority. Duties and Responsibilities
- Learns and participates in the coordination and preparation for on-line and in-person meetings, trainings, and marketing events for STP by creating spreadsheets, documents, and registration forms using internet/web-based tools, computer programs and software, standard office equipment and tools, and Outlook email in order to meet the needs of current customer agencies and to ensure potential customer agencies.
- Learns and assists in providing clerical duties by preparing, proofreading, and distributing standard communications using internet/web-based tools, computer programs and software, standard office equipment and tools, and Outlook email in order to support STP and ensure efficient daily operations.
- Learns and participates in the tracking and reporting of travel information by maintaining an accurate database and generating various recurring reports using web-based applications, computer programs and software, Outlook email, and office telephones to support STP business operations and ensure the travel/transportation needs of customers are met.
- Learns and assists in the collection and organization of new and potential client data and information by creating and maintaining paper and electronic files using the internet, computer programs and software, standard office equipment and tools, and Outlook email in order to assist STP with data management to ensure ongoing program growth.
- Learns and participates in the development of the STP newsletter by soliciting articles and content from staff, and arranging and designing the newsletter using computer programs and software, standard office equipment and tools, and Outlook email in order to produce a professional newsletter to ensure effective communication with STP's customer agencies.
- Learns and assists with various office tasks by completing special projects for STP management, participating in staff meetings, attending training, and providing work status reports to ensure the needs of the unit are met in order to comply with office guidelines and all state laws, rules and regulations.

Physical Requirements
Employees must be able to sit for extended periods of time and may be required to move about, stand, reach, stoop or bend and lift/push light to heavy equipment and supplies. Employees must have fine motor skills for office machine use, such as a computer/laptop monitor, keyboard, mouse and printer.
Working Conditions
This position is hybrid and eligible for telework up to three days a week, in accordance with the Statewide Telework Policy, and will be required to report to the office as needed/required. The successful candidate must reside in California upon appointment.
Employees will be required to work according to the current UEI remote workplace policy and sign a UEI telework agreement.
