JOB SUMMARY:
Responsible for organizing & managing information in the Nurse Staffing Office,
Works with ADP, & other related software systems,
Provides secretarial, receptionist, clerical, & general office duties, including scheduling, staffing, & payroll, completing activities with minimal supervision,
Independently, oversees payroll & payroll function & coordinates support for Department Manager,
Provides staffing & payroll reports direct Supervisors/Manager,
Interacts with all levels of staff, supervision, & management,
Collaborates with other Staffing Assistants on all aspects of the job,
Responsible for training new staff,
Under the direction of the Department Manager, contributes to the department to fulfill its mission & exceed its goals,
Is responsible for reporting identified safety issues as hazardous environments, i,
e,
damaged floors/walls/ceiling tiles/unsecured areas & medical errors, etc,
This is a part-time position - 20 hours/week, Alternating weekends and holidays,
EDUCATION/EXPERIENCE/KNOWLEDGE, SKILLS, & ABILITIES:
High School Diploma or GED equivalent required; Associate's Degree Preferred,
Must have previous electronic payroll & scheduling experience; ADP experience preferred,
Prefer knowledge in the medical field or knowledge of medical office, staffing, & health care field; Business office experience,
Proficient knowledge & skill in computer software, including Microsoft programs & be familiar with office-based devices, i,
e,
, printers, scanner, fax, virtual conference tools,
Excellent communication, courteous & professional, & strong interpersonal skills & telephone etiquette are required,
Ability to multi-task & think critically in an efficient manner,
Have excellent time management & problem-solving skills,
Able to participate in conflict resolution with a professional attitude,
Maintains confidentiality in all hospital-related issues,
JOB-SPECIFIC REQUIREMENTS:
Adapts to varying work requirements dependent on departmental needs,
Calling & assuring staff replacements,
Communicates with the COM & Collaborates with Unit Leaders on staffing issues,
Computer skills including data entry, report generation, & creation of reports,
Confers with the COM with staffing & planning staffing based on requirements, daily,
Coordinates extraordinary weather conditions protocol,
Maintains ADP to assist with accurate payroll completion & works on expansion of scheduling capabilities,
Maintains daily records of patient/nurse ratio, records of census, activity, acuity, & staffing needs, & submits monthly electronically to DOH,
Maintains expiration log as per policy guidelines, communicating with units & Medical Examiner s office,
Participates in the planning for the orientation of new personnel,
Processes paperwork for personnel action changes,
Perform all other duties as assigned,
Understands, meets, implements, and upholds philosophies & policies and the requirements of Jersey City Medical Center, HIPPA, & Corporate Compliance policies & procedures, complies with the standards set by departmental policy, DNV, & other regulatory agencies governing activities within the department
Demonstrates professional conduct that is governed by ethical codes of behavior,
Successful completion of orientation requirements & ongoing license, competency, & certification maintenance,
