UC Berkeley School of Law is one of the nation's great centers for legal education, ever exploring and pushing new intellectual boundaries while tackling urgent, real-world issues. The Human Resources and Academic Personnel department supports the goals and challenges of the law school by providing services which promote a work environment that is characterized by fair treatment, open communications, personal accountability, trust and mutual respect. We are committed to providing the highest level of responsive, confidential service possible, while serving as a resource of information and expertise.
This position is a member of the Berkeley Law Human Resources team and partners with Berkeley Regional Services (BRS) and Central Human Resources (People & Culture), and other campus partners to recommend, develop, implement, administer, coordinate, and/or evaluate Human Resources policies, labor contracts, statutes, programs and procedures covering several of the following: Student Assistants, onboarding & orientation, payroll, employee engagement, recruitment, data reporting, benefits, leaves, ergonomics, compliance, welfare programs, Diversity, Equity, Inclusion & Belonging (DEIB), employee relations, labor relations, training and development, intercampus transfers, and employee services.

Responsibilities

  • Primary point of contact for Student Assistant appointments; Serves as the liaison for Berkeley Regional Services (BRS) for Student Assistant hiring and position management in UCPath for Student Assistants.
  • In coordination with BRS, facilitates the hiring, extensions, and terminations of Student Assistant appointments.
  • Under general supervision, review job descriptions, post jobs announcements, screens resumes and applications, and interviews applicants for student positions.
  • Compiles personnel information, collects appointment data, monitors appointment spreadsheets and confirms appropriate authorizations and eligibility.
  • Performs onboarding and orientation counseling as needed.
  • Provides administrative triage support; submits inquiries and HR-related requests via ticketing system.
  • Tracks/monitors progress of open cases; coordinates with campus partners, such as Berkeley Regional Services and People & Culture (Campus HR), to ensure that personnel actions are processed timely and accurately; audits files and records to verify accuracy and completion of information.
  • Responds to general HR-related inquiries and questions in a timely manner.
  • Coordinates with BRS or other campus partners and directs employees to additional resources as appropriate.
  • Manages sensitive and confidential information and effectively and collaboratively interact with client groups (such as BRS, People & Culture, UCPath, and Payroll) to solve HR-related issues that are moderately complex in scope and nature.
  • Generates reports in UC Systems; UCPath, Smartsheet, Cal Answers, GLACIER, VSPA Gateway and Cognos for analysis of personnel activity and compliance.
  • Monitors appointment end date reports and partners with HR Partners to resolve.
  • Assists with and coordinates administrative processes involving, but not limited to, recruitments, staff appointments, onboarding and orientation, training and development, personnel files, and employee engagement.
  • Collaborates with HR team and/or other internal stakeholders on a variety of short-term and long-term projects.
  • Creates, updates, and maintains training guides, workflows, and other instructional or informational material.
  • Updates and maintains HR's departmental website.
  • May draft and compose HR-related communication that is disseminated school-wide and/or to target client groups.
  • Organizes and maintains local personnel files while ensuring compliance with recording keeping requirements.
  • May maintain records for equal employment opportunity and affirmative action reporting requirements and other records as required to maintain compliance (I-9, EAD, etc.).
  • Posts required notices (federal, state, local, etc.) in designated areas throughout the law school building.
  • Updates postings as needed to ensure compliance.
  • In collaboration with Building & Facility Services, serves as an Ergonomic Navigator:
  • Provides backup support for Academic Student Appointments and regularly coordinates and collaborates with Academic HR Coordinator.
  • Engages in professional development and training opportunities as needed.
  • Performs additional duties as assigned.
Required Qualifications
  • General knowledge of human resources policies and programs, and how they affect other organizational policies and procedures.
  • Good problem solving and analytical skills to, conduct analysis, identify issues and develop recommendations.
  • Familiarity with human resources concepts, policies and procedures, employment practices, labor relations, salary administration, training and other areas of human resources.
  • Knowledge of and/or ability to learn campus, college and departmental formal and informal policies and procedures and understanding of variances to stated policies.
  • Proficient in communicating clearly and effectively verbally and in writing and in integrating information in the completion of assignments.
  • Demonstrated ability to handle difficult or volatile situations / individuals effectively.
  • Strong interpersonal skills, including diplomacy, professional demeanor, and excellent attendance to establish and maintain good working relationships throughout the organization and with outside constituencies.
  • Ability to work with diverse populations with diplomacy, poise, and tact.
  • Ability to establish and maintain effective working relationships to work independently and as a productive member of a team.
  • Strong project management, time management, and organizational skills.
  • Ability to prioritize and complete a variety of assignments with demanding timeframes and deadlines.
  • Responsiveness and a strong commitment to providing excellent customer service.
  • Knowledge of a human resources information system (HRIS), and / or other related business software programs and systems.
  • Skills using various computer programs with an emphasis on MS Word and Excel, PowerPoint, Google Suite, electronic calendaring (e.g. Google Calendar), electronic file sharing (e.g. Box or Google Docs), email applications, and video conferencing platforms (e.g. Zoom, Skype, Microsoft Team, and Google Meet).
  • Ability to learn new computer programs and software systems.
  • Strong attention to detail.
  • Ability to use discretion and maintain strict confidentiality.
  • Demonstrated commitment to and understanding of diversity, equity, inclusion, and belonging (DEIB), and ability to apply and integrate core concepts of DEIB into everyday practice.

Education/Training:
  • Bachelor's degree in related area and / or equivalent experience / training.
  • Experience coordinating administrative processes and/or providing administrative support.
Preferred Qualifications
  • Knowledgeable in state and federal employment laws, including applicable wage and hour, leave entitlement and employment legal requirements.
  • Prior experience in Human Resources or in higher education administration.

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.
The budgeted salary or hourly range that the University reasonably expects to pay for this position is $33.95 - $38.30.
  • This is a 100%, full-time (40 hours per week), career position that is eligible for full UC benefits.
  • This position is non-exempt and paid bi-weekly.
  • This is a hybrid position, eligible for up to 20% remote capability.
