Job Purpose/Summary
The Staff Accountant Assistantwill assist in preparing Financial Reporting documentation. Major responsibilities include preparing and reviewing financial documents, reports, and statements. Responsibilities include maintaining the general ledger, reviewing financial statements, preparing financial reports, assisting with audits and budgeting processes, and reconciling accounts.
Duties and Responsibilities
- Ensure adherence to non-profit financial laws and guidelines.
- Able to utilize the organization's finance software (Quick Books Online)
- Assist with quarterly & annual audits.
- Maintain, organize and update financial records.
- Extract payment verifications daily.
- Process ACH payments
- Prepare journal entries.
- Perform monthly bank & perform monthly credit card reconciliations.
- Assist with reconciliation of balance sheet accounts.
- Assist with accounts payable & accounts receivable.
- Prepare monthly and quarterly grant request for reimbursements (RFR)
- Gathering documentation for RFR backup: invoices, receipts, bills, program expenses, etc.
- Gathering proof of payment for expenses for RFRs: bank website for ACH, cleared checks, credit card statement.
- Get monthly payroll detail & summary from AdvanStaff.
- Collect and calculate timesheets amounts per time sheet for each grant & program.
- Complete RFR forms: transaction worksheets, RFR forms, invoices, checklists, etc.
- Organize the RFR packet per the checklist.
- Submit the full packet to the Director of Finance and Grant Department to review and approve.
- Assist with the RFR monthly journal entries, re-run GL reports to balance to zero, additional copies made for Finance Director
- Work with Grant Department to scan and submit the RFRs once approved.
- Track the monthly reimbursements: enter the date and amount of reimbursement submitted.
- Collect and organize time sheets from all staff by pay period.
- After RFR is approved and submitted, assist Finance Director in updating classifications in QuickBooks
- Prepare daily deposit log (Mail Log)
- All other duties as assigned.
Special Projects
- Oversee or participate in special projects as assigned by Executive Leadership
- Attend six Pop Up & Give' events annually unless otherwise specified.
Qualifications and Competencies
- Associate/Bachelorette degree in accounting preferred
- 1 years + experience as a Staff Accountant Assistantor similar role.
- In-depth knowledge of financial and accounting principles, laws, and best practices
- Proficient in the use of MS Office and financial management software, e.g., QuickBooks
- Must possess valid unrestricted Nevada driver's license and reliable transportation.
- Must be able to pass a criminal background check and drug screening.
Work Environment & Physical Demands
- Ability to sit, use hands and fingers, talk or hear continually. Ability to stand, walk, reach, push, pull regularly and for extended periods of time. Ability to climb or balance, stoop, kneel, or crouch regularly. Must be able to lift, push, pull, etc. efficiently and on a regular basis. Ability to work in fast paced active environment
