The purpose of this position is to perform a broad range of very sensitive, confidential, and proprietary administrative functions for a Direct Report to the CEO, an Officer of the company, or Country Manager. This requires an individual who displays initiative and a high degree of anticipation to officer's activities and meeting needs. This role has the overall objective of consistently providing top-quality, non-technical administrative support and to maintain high standards of excellence, while ensuring solid customer relationships.
• Perform a broad range of very sensitive, confidential, and proprietary administrative functions for a Direct Report to the CEO, an Officer of the company, or Country Manager
• Administer and maintain highly confidential and specialized information and utilizing an in-depth understanding of organizational policies, procedures and operations
• Perform administrative duties to include phone coverage, meeting coordination (including catering, teleconferences, and video conferences), report preparation, presentations, composing correspondence for signature, expense reports, etc.
• Coordinate global travel arrangements for maximum cost effectiveness to include processing visa applications, adhering to security travel advisories and charter travel arrangements
• Schedule appointments and coordinates officer's interface with other company organizations, clients, and external groups
• Process expense in accordance with Fluor policies and procedures
• Approve certain requests upon delegation of authority (including timesheets, expenses, travel etc)
• Other duties as assigned
Basic Job Requirements
• Accredited four (4) year degree or global equivalent in applicable field of study and ten (10) years of work-related experience or a combination of education and directly related experience equal to fourteen (14) years if non-degreed; some locations may have additional or different qualifications in order to comply with local requirements
• Ability to communicate effectively with audiences that include but are not limited to management, coworkers, clients, vendors, contractors, and visitors
• Job related technical knowledge necessary to complete the job
• Ability to learn and apply knowledge of applicable local, state/province, and federal/national statutes and guidelines
• Ability to attend to detail and work in a time-conscious and time-effective manner
Preferred Qualifications
• High School Diploma or equivalent appropriate General Certificates of Secondary Education or global equivalent preferred
• Five (5) years of Fluor experience
• Expert computer and software skills to include the use of word processing and email as well as the expert use of spreadsheets and electronic presentations
• Proficient in use of Fluor specialized software
• Strong interpersonal and communication skills, both oral and written
• Superior organizational skills
• Strong leadership and decision-making skills
