Position Summary:

The Executive Assistant provides accurate and timely administrative support, in a customer-focused manner to executive level leaders. The key responsibilities of this role include: processing invoices, arranging meetings and travel. The Executive Assistant is expected to represent Lifetouch in a professional and positive manner.

Primary Duties and Responsibilities:
  • Provides administrative support (e.g., coding and processing invoices, preparing for and coordinating meetings, making travel arrangements, ordering supplies).
  • Uses various Microsoft Office programs (e.g., Outlook, Word, Excel, PowerPoint) for meetings/calendaring, word processing, presentation preparation, data processing, etc. to meet business needs.
  • Responds to general employee inquiries to provide information/answers, ensure prompt problem resolution, and escalates issues as appropriate.
  • Safe-guards all customer, employee and company proprietary and personal information ensuring customer and employee data is kept confidential at all times.
  • Provides administrative support (e.g., meetings, logistical assistance) to Vice President, Studios.
  • Performs other projects or miscellaneous duties as requested or assigned.
Minimum Requirements:
  • Required education and experience-
    • High school diploma required.
    • 4+ years in an administrative assistant role.
  • Preferred education and experience-
    • Post-secondary education strongly preferred.
  • Additional eligibility qualifications-additional requirements such as certifications, industry-specific experience and the experience working with certain equipment.
Other (knowledge, skills, and abilities):
  • Proficient in Microsoft Office, specifically Outlook, Word, Excel and PowerPoint.
  • Maintains confidentiality and acts with personal and professional integrity.

  • Strong communication skills (written, verbal and listening).
