Position Overview:
We are seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive administrative support to the CEO of our consulting firm. The ideal candidate will be proactive, resourceful, and able to anticipate the needs of the CEO in a fast-paced environment. This role requires exceptional communication skills, discretion, and the ability to handle sensitive information with confidentiality.
Key Responsibilities:
1. Calendar Management: Coordinate and manage the CEO's schedule, including scheduling meetings, appointments, and travel arrangements. Prioritize conflicting demands and ensure efficient use of time.
2. Communication: Serve as the primary point of contact for internal and external stakeholders, including screening and directing phone calls, emails, and other correspondence. Draft, proofread, and edit documents, presentations, and reports as needed.
3. Meeting Support: Prepare agendas, materials, and presentations for meetings. Attend meetings, take accurate minutes, and follow up on action items to ensure timely completion.
4. Travel Coordination: Arrange domestic and international travel for the CEO, including flights, accommodations, and transportation. Prepare travel itineraries and ensure all travel-related documents are organized.
5. Administrative Support: Provide general administrative support to the CEO, such as managing expense reports, maintaining filing systems, and ordering office supplies. Handle special projects and initiatives as assigned.
6. Relationship Management: Build and maintain positive relationships with clients, partners, and colleagues on behalf of the CEO. Represent the CEO professionally and effectively in various settings.
7. Confidentiality: Handle sensitive information with the utmost confidentiality and discretion. Maintain confidentiality regarding business strategies, financial information, and other proprietary data.
Qualifications:
- Bachelor's degree in business administration, communications, or related field preferred.
- Proven experience as an Executive Assistant or similar role, preferably supporting C-suite executives.
- Excellent organizational and time management skills, with the ability to multitask and prioritize tasks effectively.
- Strong written and verbal communication skills, with a high level of professionalism and attention to detail.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Ability to work independently with minimal supervision and as part of a team.
- Discretion and integrity when handling confidential information.
- Experience working in the nonprofit sector or consulting industry is a plus.
