We're seeking an experienced Executive Assistant to support our Executive Director, where you'll play a vital role in driving our mission forward with precision and heart. This position is responsible for providing high-level professional and efficient administrative support to the Executive Director.
Essential Duties and Responsibilities:
- Perform administrative tasks such as typing, filing, mailings, proofreading, data entry and special event planning such as annual meeting preparations.
- Prepare reports, bid packages, memos, letters, meeting minutes and other documents, using word processing, spreadsheet or presentation software.
- Timely response to requests for information, service, and assistance.
- Prepare reports and attend monthly board meetings. Responsible for taking and reporting meeting minutes.
- Provide supervision and direction to Office Administrator.
- Maintains confidentiality of organization fiscal, personnel and consumer related information.
- Maintains a thorough working knowledge of and adheres to organization policies and procedures.
- Assist Executive Director in scheduling meetings/events.
- Maintains agency documents and contracts.
- Assist in maintaining agency policy & procedure documents.
- Other duties as assigned by the Executive Director.
- E*ducation and Experience Requirements:
- Associates Degree in Executive Secretarial Sciences or related field
- Minimum 5 years experience with administrative support.
Qualifications and Knowledge:
- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology.
- Excellent communication and language skills with the ability to take up roles and responsibilities on a proactive basis. Must be confident with organizational ability and possess the capacity to multi-task.
- Proficient with modern office IT software and equipment (Excel, Outlook, Word, SharePoint & Teams)
