About this role


The Senior Administrative Manager effectively coordinates and manages the company’s administrative processes. This role works independently, exercising initiative, discretion and judgment and makes appropriate decisions within the scope of assigned responsibility. Relies on experience, judgment and company policies and procedures to plan and accomplish goals. Provides leadership and manages the activities of the Executive and Business Assistants to ensure administrative tasks are completed seamlessly, and customer support to senior leadership is provided. Besides the day to day, this includes and is not limited to setting objectives for direct reports, performance management evaluations, provide ongoing development opportunities for team members, developing and maintaining work relationships, creating change Management plans, writing Job Descriptions, leading large event planning, and initiating vendor selection processes. The Administrative Manager plays a pivotal role in maintaining the effectiveness and productivity of the executive team by overseeing administrative processes and providing strategic guidance to the support staff.

Your role will consist of


Enhance Efficiency: Streamline administrative workflows and processes to increase the efficiency of executive assistants, thereby enabling them to better support the executives.



Optimize Communication: Facilitate clear and effective communication channels between executives and their support staff, ensuring timely dissemination of information and instructions.



Foster Collaboration: Promote a collaborative environment among executive assistants, encouraging knowledge sharing, best practices, and mutual support to maximize team productivity.



Implement Best Practices: Identify and implement industry best practices in administrative management to enhance the effectiveness of support operations and ensure alignment with company goals.



Develop Talent: Provide guidance, training, and mentorship to executive assistants to foster their professional development and enhance their skills in supporting high-level executives.



Lead and direct the Executive and Business Assistants team, fostering a collaborative and productive working environment.


Your role will consist of (continued)


  • Establish a consistent customer-oriented support model based in inclusion, balanced workload, efficiency, effectiveness, and continuous improvement.
  • Resolve issues requiring knowledge of Company policies and procedures and ongoing projects.
  • Responsible for workload analysis and recommendations for administrative staffing throughout the company.
  • Responsible for coordinating feedback and administering performance management of Executive Assistants and Business Assistants.
  • Responsible for recruitment of top talent, training and retention.
  • Assessing team performance, recognizing positive work, providing constructive feedback, coaching and mentorship to ensure maximum efficiency.
  • Monitor costs and expenses to assist in budget preparation.
  • Responsible for developing, reviewing, and improving administrative processes, policies, and procedures to include project management and change management through implementation.
  • Serve as a liaison between executive, direct reports, and business associates, many of whom are globally dispersed across time zones and cultures.
  • Liaise with members of the Board of Directors and support the EA to the CLO and Corporate Secretary with board meetings.
  • Handles confidential and time critical matters with tact and discretion.
  • Research, compile, and prepare data for administrative reports and presentations.
  • Oversees special projects and tracking progress towards company goals to include planning, scheduling, and logistics for other company-related events, such as holiday party, leadership meetings, etc.
  • Coordinate and oversee travel and expense reimbursements for the office of the leadership team via the administrative support team.
  • Maintains internal stakeholder engagement (IT/SCM/Travel/Accounting/Facilities).
  • Active team engagement and relationship building is an essential responsibility for the Global Administrative Manager. The Global Administrative Manager maintains a professional and positive work environment by facilitating effective communication and information sharing among the team.

Knowledge:


Bachelor’s degree related to Business Administration, a related field or a combination of equivalent certificates and work experience is required


Experience:


 Demonstrated experience in leading and managing a team,
 Experience in providing mentorship, coaching, and guidance to team members is essential.
 Proven track record in administrative management, including overseeing complex administrative processes, managing calendars, travel coordinating meetings and events, and handling confidential information with discretion.
 Experience in providing high-level administrative support to executives or senior leaders, understanding their priorities, preferences, and communication styles.
 The ability to identify challenges, develop solutions, and make decisions quickly and effectively.
 The ability to foster a collaborative and supportive team environment for maximizing the productivity and effectiveness of executive assistants.
 The ability to adapt to changing priorities, shifting deadlines, and evolving business needs is essential in a dynamic corporate environment. Resilient, and able to thrive in a fast-paced setting.


Skills and Abilities:


 Sophisticated digital literacy. Proficiency in office productivity software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools, project management software, and CRM systems are typically required.
 Exceptional written and verbal communication skills are necessary for effectively liaising between executives, support staff, and other stakeholders. The ability to convey information clearly, concisely, and professionally is paramount.
 Confidential and tactful maintaining the highest levels of integrity.
 Progressive knowledge of office equipment.

Working conditions and location


  • This role is located at the Denver Corporate Hub, with partial flexibility to work from home.
  • May be required to travel to other Newmont locations as business needs arise.
  • May require extended and fluctuating hours.

The salary range offered for this role is USD $120,000 - 143,000. The salary range is tied to the Colorado market for jobs performed in Colorado. The salary offer to the successful candidate will be based on job-related education, training, and/or experience. The salary offer will not be based on a candidate’s salary history at other jobs, and by law, Newmont will not seek information about salary history, and candidates should not share such information with Newmont. This role will be eligible for participation in a discretionary annual bonus program, pursuant to which an employee may be awarded a percentage of their salary based on the company’s performance and their own individual performance.
