Position Title: Administrative Assistant/Appointment Coordinator
Job Status: Part-Time (25 hrs/week +/-) Position is Monday-Friday, approximately 12pm - 5pm. No nights, weekends or holidays!
Compensation: $17.00/hr - $19.00/hr DOE
Job Summary: We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. The ideal candidate should have excellent oral and written communication skills. Job duties to include: Implement administrative systems, procedures, and policies, maintain client relations, data management, reception, support multiple advisors’ individualized needs and monitor and conduct administrative projects.
Essential Responsibilities:
- Reception, including direct and personal contact with clients and advisors. Greet each customer with a smile and do everything possible to answer his/her questions in a friendly and professional manner or refer them to someone who can.
- Handle traffic flow through office.
- Maintain an accurate record of client information and clients’ specific requests.
- Maintain rapport with clients, advisors, and staff.
- Processing, filing and scanning of various company documents, organizing handouts and mailings.
- Support client and advisor concerns.
- Answer incoming phone calls.
- Schedule client appointments for a group of 8+ advisors.
- Be able to complete complex tasks with minimal supervision.
- Work in an honest and ethical manner, maintaining confidence on all business related matters.
Qualifications: Microsoft Office: Excel, Word, and Outlook. Must be able to pass drug screening, background and credit check.

Education and Experience Preferred: Two years administrative experience and/or Associates or Bachelor’s degree in related field. Compensation is Depending on Experience.
