Job summary/position overview:
Under the direction of the Chief Advancement Officer, the Special Events Manager has primary responsibility for planning, managing, and producing major signature fundraising and member events for Palm Springs Art Museum. These events include the annual Gala, Art Party, a series of Artful Events; a variety of member events including member openings, special dinners and programs and stewardship activities. The position requires extensive experience coordinating and executing successful Special Events that generate positive cash flow, the ability to create and manage detailed event budgets, and the flexibility to work nights and weekends as required.
Essential functions/specific responsibilities:
- Manage, direct, and coordinate associated staff, contractors, and vendors as necessary to successfully accomplish the Special Events.
- Manage volunteers and associated committees for events including Art Party and Artful Events.
- Coordinate event needs with caterers, production office, IT, Security, Loading Dock and other requested services offered at all facilities.
- Manage the implementation of Master Calendar event reservations, event sheets and technical requirements as submitted.
- Generate all necessary material requests, check requests and support material (if applicable) to ensure all invoices are paid promptly.·
- Communicate all advertising details of events to the marketing department.
- Promote the highest degree of quality customer service, both internally and externally.
- Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
- Provide information and explain museum policies, property amenities and restrictions to guests and vendors.
- Assess and negotiate solutions, in advance, for the potential impact an event in the museum will have on staff, various departments and areas of the facility.
- Other duties as directed by management.
Qualifications & Requirements
- College degree or equivalent work-related experience.
- Strong leadership, organizational, communication, human relations, and decision-making skills.
- Excellent verbal and written communication skills.
- Superb customer relations and customer service skills.
- Strong working knowledge of Microsoft Office products and other business-related software and equipment.
- Knowledge of Tessitura, a customer relationship management system, desired.

Work Environment
This job operates in a professional environment. This role uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
While performing the duties of this job, the employee is required to communicate, exchange information, and engage in conversation.
Salary and Benefits
The salary range for this position is $70,000-$75,000 annually. The Museum also provides a competitive benefits package, including medical and dental insurance (HMO and PPO options), vision, life insurance, and Aflac options. After six months employees are eligible to participate in the 401 (k) plan. We also offer vacation pay, generous paid holidays, and paid sick leave, as well as free membership in the Museum.
