Express Employment Professionals is looking to hire a Service Coordinator. This position provides support to the Service Technicians, the Service Department, Construction Department, retail sales as well as the customer. The ideal candidate would have previous HVAC scheduling/dispatch experience, strong computer skills, and highly proficiency in MS Office Suite.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Essential functions/responsibilities include but are not limited to the following:
Productivity, and Quality
- Maintain the day-to-day schedule for the Service Technicians assigned to your area.
- Field service calls from customers-ensure that they are responded to appropriately.
- Prepare quotations and estimates for customers.
- Strategically target customers and use the marketing tools available within the department to increase presence in the assigned areas.
- Coordinate and schedule service technicians for construction job start-ups. Work with the Project Manager to provide the start-up technician with the proper information needed for start-up.
- File work order invoices and other work order related documentation.
- Maintain and update department reports (payroll, job costing, and construction start up status) as assigned.
Customer Contact
- Assist with customer questions and problems as appropriate.
- Develop partnerships with customers by setting and keeping achievable commitment dates, understanding customers' product, requirements, and style of operating. Make our customers' vision/mission/goals, ours as well.
Personal
- Support a positive team atmosphere by modeling and promoting teamwork, diversity, cooperation, communication, professionalism, and respectful mannerisms among all team members, and hold others accountable to do the same.
Financial
- Purchase materials for service work order jobs.
- Issue purchase orders to vendors and keep track of orders to ensure their proper and timely delivery and accurate pricing.
- Prepare billing packets for service department work orders.
- Respond to/research questions related to work order invoicing.
Misc.
- Process timecards for service technicians assigned to your area.
POSITION TYPE/EXPECTED HOURS OF WORK:
This is a Full time position. Days and hours are Monday through Friday 7am to 4pm, however, based on the needs of the job, work hours may vary.
TRAVEL:
Travel is expected for this position, based on the duties to service the needs of the customer(s).
REQUIRED SKILLS AND QUALIFICATIONS:
- High school diploma or general education degree (GED)
- 2 years' experience in customer service focused position
- Previous HVAC scheduling/dispatch experience
- Proficient with Vista, Microsoft Office software including Word, Excel, and Outlook.
- Ability to type 50 WPM with accuracy
- Ability to use general office equipment (including computer and 10 key)
- Exceptional written and verbal communication
- Detail orientated
- Great problem-solving skills
- Collaborative, team centered
- Excellent time management and organization skills
