Who You Are:

We are looking for a Senior Payroll & HR Specialist with tenured experience in startup companies managing multi-state compliance and payroll processes. As the Senior Payroll & HR Specialist, this person will be responsible for processing bi-weekly exempt and non-exempt payroll across three business units with multiple US locations and Singapore. Reporting to the HR Manager, this role will play a critical role in supporting the People, HR, Finance and payroll-related functions of the business. You will play a vital role in safeguarding the financial well-being of our organization and ensuring our employees are paid accurately and on time.

We are looking for an individual who is analytical, methodical, and experienced in payroll administration, procedures and applies continuous improvement methods to streamline processes and mitigate risk. A deep understanding of payroll regulations is crucial. Additionally, we value qualities such as integrity, team spirit, and strong organizational and reporting skills.

Your Day-to-Day:

  • Payroll Processing: Manage day-to-day processing of multi-state US payroll, including compliance with federal and state laws, regulations, and company policies.
  • Serve as the subject matter expert (SME) on earnings and dedications, ensuring company-wide compliance.
  • Coordinates timekeeping systems, oversee payroll changes and system upgrades.
  • Analyze payroll inconsistencies to determine root cause and solutions in partnership with Operations and People leaders.
  • Compliance: Ensure that you are informed of all federal, state, and local labor laws and regulations. Maintain HR and payroll practices comply with all applicable laws and regulations,
  • Liaise with auditors and manage payroll tax audits.
  • Work closely with the CHRO and HR Manager on compliance matters and special projects related to payroll and compliance, including reporting and technology components that are critical to scale the business.
  • Oversee the preparation of quarterly and annual payroll tax filings.
  • Manage ADP garnishments VOE services.
  • Performs other duties as assigned by HR Leadership within the scope of your role.
  • Performs a supporting role in identifying processes and programs in the business that require changes in order to maintain compliance with laws and industry regulations.
  • Benefit Administration & Reconciliation: Provide needed information to assist in monthly general ledger reconciliation of all health insurance plans
  • Assist in 401K auditing and reporting
  • Works closely with the HR Team on the annual open enrollment, census and compliance reporting, and educational presentations; interprets and follows a variety of processes with detailed instructions under limited supervision
  • Reconciles insurance premiums on a monthly basis. Investigates discrepancies, as necessary, and works with HCM system and vendors to resolve problems to avoid issues in the future.
  • Reporting: Generate HR and payroll reports as needed for management and other departments. Assist in compiling data for audits and compliance purposes.
  • Responsible for tracking and managing our company’s payroll data, including supporting sites in tracking employee work hours, preparing compensation checks, calculating bonuses and allowances, and responding to employee questions about wages and deductions.
  • Data Management: Enter, update, and maintain HR and payroll data accurately within the HRIS (Human Resources Information System) and payroll software

The salary range for this role is $75,000 - $85,000 USD dependent on location and experience.

Requirements

The Necessities and Nice-to-Haves:

  • Proven experience as a payroll specialist or similar role for 5-7 years.
  • Ability to prepare and present financial reports.
  • Familiarity with accounting software and procedures.
  • Ability to handle confidential information.
  • Familiarity with state labor laws.
  • Current knowledge of payroll procedures and related laws
  • Excellent understanding of multi-location payroll and taxes
  • Familiarity with payroll software/ HRIS (ADP), Google Suite (especially Excel/Google Sheets) and Microsoft
  • A keen eye for detail and data
  • An analytical mind that is excellent with math and computing skills
  • BSC/BA in Business Administration, Accounting, Human Resources or related field; professional certification (e.g. CPP, CPM) is a plus
  • Bilingual preferred
  • SHRM/PHR certification preferred
