Job Title:Senior Operations Specialist - Onsite - Everett, WA

Reports To: Operations Manager

FSLA Status: Full Time, Non-Exempt

Salary: $25.00 - $31.00

Job Overview: The Senior Operations Specialist is responsible for overseeing daily operational tasks, ensuring the smooth running of billing processes, and maintaining communication between departments to support the revenue cycle management. The ideal candidate will be adept at monitoring and reporting on work progress, managing data integrity, and optimizing workflows to enhance efficiency.

Key Responsibilities:

  1. Work Orders and IT Builds:
    • Track, monitor, and ensure the proper functioning of IT builds and work orders.
    • Announce updates and fixes to relevant teams promptly.
  2. Client Charge Management:
    • Ensure timely receipt of charges post-client go-live and track until completion.
    • Communicate charge tracking progress to prospective and current clients.
  3. Communication Coordination:
    • Distribute notifications regarding changes in account managers, job roles, or facilities.
    • Manage weekly follow-ups on non-responded emails and maintain communication logs.
  4. Batch Processing and Monitoring:
    • Oversee daily batch status for all batches and expedite processing where necessary.
    • Push batches from managers for jobs past due and update end-of-day status reports.
  5. Facilities Management:
    • Manage employee-related facilities tasks including Flex Tracker updates, reviews, and approvals.
  6. Customer Service Oversight:
    • Ensure high-quality customer service, attend weekly meetings, and address customer feedback.
  7. Administrative Support:
    • Assist with new employee IT forms, SFTP setup, and operational project implementations.
  8. Financial Reporting and Auditing:
    • Handle daily statement tracking, manage departmental backlogs, and perform monthly audits.
  9. Compliance and Quality Control:
    • Respond to Better Business Bureau complaints and maintain compliance with standards.
  10. Revenue Assurance:
  • Monitor accounts receivable, manage deposit transitions, and print refund checks.
  1. Access Management:
  • Oversee PHIMED client access and privileges, ensuring secure and appropriate usage.

Qualifications:

  • Bachelor's degree in Business Administration, Healthcare Administration, or related field preferred.
  • Minimum of 3 years of experience in medical billing or revenue cycle management.
  • Proficiency in PHIMED or similar healthcare billing system.
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal abilities.
  • Ability to handle multiple tasks and prioritize in a fast-paced environment.

Working Conditions:

  • Office environment with periodic meetings and collaborative projects.

Physical Requirements:

  • Must be able to remain in a stationary position for extended periods.
  • Occasionally required to move about the office to access file cabinets, office machinery, etc.
