Job Description
ESSENTIAL JOB FUNCTIONS:
- Coordinate the billing process: liaise with the billing coordinators, secretaries, paralegals, partner(s) and clients on the preparation and distribution of client bills.
- Monitor billing status and track when bills are completed, approved and distributed.
- Ensure client billing is accurate, complies with complex IP complex billing guidelines and meets client and Firm deadlines.
- Develop and maintain working relationship with clients
- Communicate with clients and resolve questions on bills and related billable vendor disbursements.
- Prepare client requested reports, reconciliations, and accounting analysis.
- Coordinate with third party IP vendors to ensure that vendor invoices are paid on a timely basis and that the related client is billed on timely basis for the disbursement.
- Review third party vendor billable disbursements for accuracy.
- Review and analyze client unbilled time and unbilled costs
- Analyzing and troubleshoot IP billing issues from start through completion.
- Review the IP billing process and make recommendations to streamline procedures and enhance efficiencies.
- The Senior Finance Coordinator will interact with IP partner(s), client contacts, stakeholders throughout the Finance Department, attorneys, secretaries, and practice group administrators.
- Complex position with ever changing demands and tasks. Ability to adapt quickly and work with numerous different teams and team members.
- Bachelor degree in Business Administration, Accounting or Finance or comparable work experience.
- 5+ years experience in Finance, with 2+ years law firm billing experience preferred.
- Aderant accounting software is preferred.
- Proficient in Excel.
- Detail oriented and organized.
- Must be able to analyze data and recommend solutions.
- Effective written and verbal communication skills
- Interpersonal skills and ability to be a team player.
- Ability to multi-task and meet aggressive deadlines.
- Ability to work independently and follow tasks through to completion, escalating issues as necessary in a timely manner.
