ABOUT NEW CITY KIDS
New City Kids is a high energy, creative program for and with youth that is unique in trusting teens with leadership. It is a joyful place filled with laughter and hard work, and has an excellent staff of dedicated adults who love children. We employ local high school students as interns to lead an excellent and unique music-focused after school center and summer camp for children ages 6-13, which provides a platform for a whole host of development opportunities for children. As kids and teens engage New City Kids, we come alongside them and invite them to know the power of the gospel and to become disciples of Jesus Christ.
POSITION SUMMARY
The Senior Executive Assistant should be passionate, energetic, and fully devoted to the mission and vision of the organization.The primary role of the Senior Executive Assistant will be to offer exceptional administrative support to the President & CEO. Including but not limited to; anticipating needs and weekly review of the President & CEO’s to-do lists, proactively anticipating smaller items for delegation, assisting with compliance work, email management, calendar management, running errands, discreet project management,travel arrangements and board meeting coordination.
Responsibilities
Calendar and appointment management with confirmations for every appointment (including morning alerts to President)
Anticipate the President & CEO needs with a proactive mindset including; beginning the week reviewing President & CEO’s email and schedule to determine what needs there will be for the week (ie. correspondence, meetings, travel arrangements, pro forma responses to certain requests, etc.)
Draft correspondence, create presentations and other communications as necessary
Organize and maintain files, including confidential files, minutes of Board meetings, and other Board-related information
Work with staff as necessary on behalf of President & CEO, draft agendas for meetings, document action items and related follow-up reports
Manage board communication, prepare meeting documents, prepare and manage agendas, minutes, upkeep and storage
Coordinate special deliveries & mailings of birthday cards, sending flowers or other gifts, etc.
Donor care support, packages, gifts, mail
Run errands as needed
Attend special events (gala or season announcements).
Other duties as assigned by the President & CEO
Qualifications
Previous job experience as a Senior Executive Assistant, senior level administrative coordinator or in a similar capacity
A minimum of three years’ experience in an office environment
Experience working with a culturally diverse workforce and constituencies; excellent interpersonal skills
Ability to work effectively under deadlines, excellent organizational and time management skills
Attention to detail
Ability to work with minimum supervision
A track record as a diligent, organized, and detail-driven self-starter who manages their time effectively
Demonstrated success in a project based environment with multiple deadlines
Excellent written and verbal communication skills and the ability to exercise discretion and maintain confidentiality
Highly proficient in computer systems
Experience and aptitude using a variety of tech-savvy business tools, including Google Apps, database management and spreadsheets
Flexible with the ability to adapt to change
Associate or Bachelor’s Degree with 4 years of experience preferred

Starting Salary of $50,000
