Black Family Development, Inc. (BFDI), headquartered in Detroit, Michigan, is a 501©3 organization, founded in 1978 by the Detroit chapter of the National Association of Black Social Workers. Our youth-focused, and family-centered organization provides services in Detroit/Wayne County.

BFDI is a CARF-accredited, licensed, comprehensive human services organization committed to serving all persons while specializing in evidence-based counseling, treatment, and advocacy for persons of color. Agency programming includes early childhood resources and literacy development, a 3-tiered juvenile justice service array, mental health prevention and treatment, substance use disorder prevention and treatment, boys and young men of color supportive resources, school-based intervention, and trauma-informed care. Most importantly, our staff are heroes who strive to match passion for service with equal parts best practice to partner with families to achieve their goals.

Our organization is seeking a Full-time Senior Executive Assistant to the CEO with the corresponding experience requirements:

GENERAL RESPONSIBILITIES

Efficiently, professionally, and comprehensively executive fast-paced roles of the CEO office. Ensure that administrative operations are carried out in a timely, effective and efficient manner to support the operational running and strategic aims of the organization. Responsible for carrying out administrative duties in the office of the CEO. Represents the CEO’s office in the execution of agency responsibilities in conjunction with the CEO.

DUTIES AND RESPONSIBILITIES

  • Timely processing and responding to emails.
  • Play a vital role in the initiation, development, and implementation of processes in the administration area.
  • Manage the organization’s program contracting process to ensure compliance with funders and local, state, and federal laws.
  • Take responsibility for the effectiveness and efficiency of administrative operations.
  • Manage and utilize federal grant websites, including Grants.gov; SAM, and GMS (Grants Management System).
  • Complete research and assembly of reports required by funders.
  • Ensure timely renewal of agency licensing requirements.
  • Work with other Executive Management staff to provide support to the CEO.
  • Ensure that there are appropriate functional strategies in place to support the office of the CEO.
  • Analyze problems, identify alternative solutions, and implement approved recommendations.
  • Participate in organizational programming, services, and activities, as is appropriate.
  • Adhere to all agency and Board regulatory policies.
  • Maintain appropriate external networks and relationships.
  • Communicate effectively with diverse groups of individuals, including Board, funders, staff, community, and consumers.
  • Oversee the prevention of wrongdoing - - whether intentional or unintentional, in accordance with established Code of Ethics.
  • Perform internal auditing activities, in conjunction with the CFO.
  • Responsible for the timely correction of any situation which puts the organization, its leadership or staff, funding sources, or consumers at risk.
  • Accurately take dictation, transcribe, type, and distribute emails, memorandums, letters, correspondence, meeting minutes, notices, proposals, reports, and various forms and documents as needed and within prescribed time frames as determined by the CEO.
  • Assist in maintaining accurate accounting records of revenues and expenditures; assists in generating reports to funders.
  • Schedule Board of Directors meetings for CEO within designated time frames as needed.
  • Attend Board of Directors and Board Committee meetings and accurately takes official minutes for the CEO.
  • Attend other required agency meetings both internal and external and accurately take official minutes.
  • Schedule appointments and/or meetings for the CEO and sends notification(s) in a timely manner.
  • Maintains confidentiality regarding staff/agency information.
  • Completes agency training standards every year.
  • Performs other related duties as assigned by CEO.

COMPETENCIES

  • Ability to prioritize and manage several milestones and projects efficiently.
  • Extensive experience working with different operating systems including Windows and Microsoft suite.
  • Experience planning large-scale events and fundraisers.
  • Experience working with a diverse team and promoting a positive brand image.
  • Professional written and interpersonal skills are essential when communicating with customers and clients.
  • Ability to work well with a team to promote company initiatives.

QUALIFICATIONS

  • Bachelor’s Degree, Masters preferred, in Business Administration.
  • Notary certification preferred.
  • 5 - 10 years administrative experience in a human services agency.
  • 5 - 10 years’ experience working with Executive Management.
  • 5 - 10 years’ experience managing contracts.
  • Knowledge of nonprofit legal documents and requirements.
  • Knowledge of legal and regulatory requirements for 501c(3) status.
  • Ability to accurately complete reports on a timely basis.
  • Ability to process dictation.
  • Ability to maintain, store, organize, and retrieve documents.
  • Type 80 - 100 w.p.m.
  • Proficient in Microsoft Office.
  • Ability to work a flexible schedule.

Job Type: Full-time

Pay: Up to $100,000.00 per year
