Bechtel is seeking a Document Management Technician to join the Riverside, California team. This team oversees the planning, environmental clearance, design, and construction of projects on the state highway system, under California Department of Transportation (Caltrans) oversight and following Caltrans' standards and procedures, and on commuter and freight rail lines, under Federal Transit Administration (FTA), Southern California Regional Rail Authority (SCRRA), Burlington Northern Santa Fe Railroad (BNSF), and/or Union Pacific Railroad (UP) oversight and following their standards.
Position Summary
Provides advanced level administrative and/or document controls support to project team. Operating as part of the project Document Management team the Document Management Technician will report to the Project Administrative Supervisor and be responsible for maintaining /supporting project's Document Management system. Utilizes the client's Electronic Data Management System (EDMS) to register, control, distribute, transmit, file and archive project records. Utilizes an internal EDMS to manage non-project records. Ensures documents are properly accessed, stored, and retrieved as needed. Ensures project schedules are met with regard to processing documents. Monitors all follow-up actions required by supervisor/manager. Will be expected to work well in a team environment. Will be expected to attend project meetings and take meeting minutes, necessary. Will need to effectively write processes and procedures for training purposes. Will be expected to write and maintain a project Audit plan. Will be expected to generate project status reports for client meetings. Will need to apply strong organizational skills, and attention to detail which is imperative. Will be expected to develop PowerPoint presentations. Will be expected provide back-up support to Project Controls personnel in verifying client vendor invoices. Must be able to perform project document audits against contractor submittal documents and clients EDMS. Prepare expense reports and manage the ordering of office supplies for the department. Performs other administrative and special projects/tasks as assigned by supervisor and project management team with minimum supervision.
The candidate will interface directly with the client and project staff and must have a positive, approachable demeanor. The holder of this position may be required to travel to and from the project office/site location(s). The project is currently transitioning to a return to office plan with in-person 3 days a week and teleworking 2 days a week. This is subject to change; it should be anticipated that the project will return to full in office work with limited teleworking. The project and client require all staff to be fully vaccinated against COVID-19 and will require submission of proof of vaccination status. No relocation is provided for this position.
Qualifications and Skills
Basic Qualifications
- 4 Year Bachelor's Degree in related field required.
- Must have the right to work and remain in the United States without visa sponsorship.
- Demonstrated knowledge of intermediate to advanced administrative and document control functions.
- Demonstrated Intermediate to advanced knowledge of Microsoft Office Suite + Office 365, i.e. Microsoft Word, Microsoft Excel, Electronic Document Management System (EDMS).
- Demonstrated intermediate to advanced written and oral communication skills.
- Strong organizational skills, with attention to detail and to accuracy.
- Must be able to compose letters/correspondence and communicate effectively on behalf of the client.
- Must have experience with project coordination in fast paced office
- Develop PowerPoint presentations for client meetings.
- Must be able to write policies, and procedures for training purposes.
- Experience managing, retrieving, filing, distributing documents/records within an EDMS environment.
- Must be able to generate and compile project status reports from the project database systems.
- Experience compiling and analyzing information to present in various report formats.
- Ability to work and multi-task effectively in a fast-paced, high energy, team environment.
- Ability to prioritize workloads on own initiative.
- Minimum 12+ years Document Management and/or administrative experience required.
