Job description

Carnegie Mellon University’s School of Music is seeking a Senior Administrative Assistant, who will be responsible for providing key assistance on an executive level as Assistant to the Head of Carnegie Mellon's School of Music. The incumbent will be responsible for managing the head's calendar; travel arrangements; preparation and briefing of the head for meetings; preparing, editing, and proofreading of documents; screening of telephone and in-person inquiries and performing triage on incoming requests; coordination of meetings and special events. The ideal candidate will demonstrate initiative, be diligent, and have the utmost respect for maintaining the confidentiality of information.
Core responsibilities will include:
  • Serve as executive assistant to the Head of the School of Music, managing their calendar, travel, correspondence and coordinating faculty and staff meetings.
  • Handles highly confidential information for faculty as the Reappointment, Promotion and Tenure (RPT) coordinator, working closely with the School Review Committee (SRC) chair and faculty to submit reappointment, promotion, and tenure cases.
  • Coordinates faculty searches, working closely with search committee chair(s); arranging all aspects of candidate travel (air; hotel; ground transportation); and generating detailed itineraries.
  • Works with the head to generate and distribute faculty-meeting agendas and takes meeting notes.
  • Coordinates annual Honors Convocation and School of Music Diploma Ceremony.
  • Assumes financial responsibilities by verifying transactions for a university purchasing card as well as a university travel card; processes expense reports for the head.
  • May help recruit, train, and supervise student workers.
  • Other duties as assigned.

Qualifications:
  • HS Diploma or GED required; Associates degree preferred
  • 5-8 years administrative support experience, including office management, administration, coordination, and scheduling experience
  • Note: Equivalent combination of education and experience will be considered
  • Preferred computer skills and technology experience including: Google Workspace, Microsoft Office Suite
