Essential Functions / Key Responsibilities
- Maintains strict confidentiality of all security personnel records and employee information.
- Assists in the recruiting process to include, processing applications and new-hire paperwork, interviewing candidates as needed and tracking applicant flow information.
- Maintains personnel records of active and terminated employees according to Company policy.
- Enters new hire information, personnel changes, and payroll information into HRIS system.
- Answers questions concerning benefits, schedules, uniforms, Unifi Security policy or employee concerns in a professional and timely manner.
- Coordinates fingerprints for the U.S. Postal Service, badging application for SIDA access and employee uniform program.
- Maintains schedules, compile reports, and prepares billing information.
- Maintains OSHA records and assists in administering on-the-job injury reporting.
- Ensures required posting and corporate information are updated and displayed as required.
- Processes internal/external communications to correct person and/or department.
- In some locations the Administrative Assistant may be required to assist with ramp, cabin service, operations and/or training duties. All other duties as assigned.
- Performs other related duties as assigned within the appropriate skill and experience capabilities expected for this position.
Basic Qualifications
Pre-requisites:
- Must be a local (in-state) resident.
- Ability to pass a pre-employment drug screen.
- Ability to pass up to a 10-year background check.
- Must be at least 18 years of age.
- Must have authorization to work in the United States as defined by the Immigration Reform Act of 1986.
- Must complete SIDA training if needed to obtain airport authority identification security.
Experience:
- Must be open minded and ready to work as part of a detail-oriented team.
Knowledge, Skills & Abilities:
- Must possess advanced proficiency in MS Word, Excel, PowerPoint, and Outlook.
- Prefer knowledge of corporate business processes and procedures such as expense reporting, scheduling and purchasing.
- Communications skills necessary to screen and route calls and make inquiries regarding business processes and schedules.
- Interpersonal skills necessary to greet visitors, customers, and business partners or make inquiries and clarify information.
- Attention to detail necessary to ensure that information is accurate and correct, documents are grammatically correct, and work is completed in a timely manner.
- Organizational skills necessary to prioritize and schedule work activities of self and others and balance multiple assignments with limited direction.
- Must be able to maintain strict confidentiality.
Preferred Qualifications
Education:
- High School Graduate or General Education Degree (GED) is preferred.
Experience:
- Minimum 2+ years administrative/secretarial experience required, or relevant experience preferred.
Knowledge, Skills & Abilities:
- Able to communicate information and instructions verbally and/or via radio equipment.
- Able to communicate effectively in a professional manner.
Working Conditions
Work Schedule:
- Monday – Friday
Work Environment:
- Ability to work under pressure and handle stressful situations.
- Must be able to be alert to moving vehicles and use radio equipment.
- Employees work inside. Utilizes a personal computer. May sit for long periods.
- Exposure to moderate noise (i.e. business office with computers, phones, printers, and foot traffic), temperature and light fluctuations.
Physical Demands/Requirements:
- Must be able to work in a fast-paced and exciting environment.
- Must be able to lift / carry / push / pull and move items of 70 pounds and/or more on a regular basis and repetitively lift weights of 40 to 50 pounds on raised surfaces.
- Must be able to walk, climb, bend, kneel, crawl, and stoop on a frequent basis and for extended periods.
- Must be able to work in cramped or high places.
