Position Details
The primary purpose of the Secretary IV position is to provide basic entry-level secretarial and general office services during weekend hours and other times.
Among the key duties of this position are the following:
- Answers telephone and provides routine information and/or routes calls to appropriate source. Initiates outgoing calls as requested. Records telephone information as required.
- Acts as receptionist for individuals who present for services with EISS.
- Handles and routes incoming mail, prepares outgoing mail and faxes.
- Adheres to the work schedule established by the Office Manager.
- Develops and/or maintains an accurate filing system, including organization of clinical documentation.
- Maintains a professional demeanor at all times and is consistently polite and appropriate to all staff and individuals seeking services.
- Graduation from an accredited program in secretarial studies or one (1) year of prior experience in a clerical function which includes typing may be substituted in place of the secretarial program.
- Up to thirty (30) college credits may be substituted for a year of clerical experience.
- Experience with word processing packages, preferably Microsoft Word.
- Knowledge of Banner and procurement policies and procedures.
- Be able to work evenings, weekends and holidays.
Under Policy 100.3.1 Immunization Policy for Covered Individuals, if employment will commence during Flu Season, Rutgers University may require certain prospective employees to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless the University has granted the individual a medical or religious exemption. Additional infection control and safety policies may apply.
