Receptionist
True North Tax Company is seeking talented, customer-focused receptionists to join our team for the upcoming tax season. We are hiring for both our Frankfort, IL and Dyer, IN locations. The position is seasonal from mid January through mid April. You can expect 25-40 hours per week during this period.
Job Summary
The receptionist handles client-facing duties, as well as general office management tasks, and ensures all reception duties are completed accurately and delivered with high quality in a timely manner.
The receptionist is often the first point of contact with customers and should have a pleasant personality and enjoy working with the public. Individuals should have a strong work ethic, effective communication skills, and the ability to work well with team members.
Responsibilities
- Greet and welcome guests as they arrive
- Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals
- Ensure reception area is tidy and presentable and stocked with necessary supplies
- Receive, sort, log, and distribute mail/deliveries, email, and faxes
- Schedule appointments and accurately maintain calendar
- Conduct courtesy calls to customers with appointments for the next day
- Process payments and enter into billing system, marking physical invoices as paid, and preparing receipts
- Prepare invoices as needed
- Perform other clerical duties such as filing, photocopying, faxing, and scanning of documents
- Package and mail client tax returns
- Maintain security by following procedures and keeping customer information secure
- Monitor and request office supplies
- Perform opening and closing procedures, including light office cleaning
- Follow communication procedures, guidelines, and policies
- Complete other assigned duties as needed
Requirements
- Dependable, arrive to work on time, work overtime when necessary
- Professional appearance
- Proven work experience as a receptionist, front office representative, or similar role
- Proficiency in Microsoft Office Suite – Outlook, Excel, Word
- Previous experience using QuickBooks (helpful but not required)
- Hands-on experience with office equipment (e.g., fax machines and printers)
- Helpful and friendly attitude towards clients and coworkers
- Solid written and verbal communication skills, professional telephone skills
- Resourceful and proactive when issues arise
- Ability to organize, multitask, prioritize, and work under pressure
- Maintain attention to detail while performing repetitive tasks
- Strong interpersonal and active listening skills
- Ability to work nights and Saturdays
Additional information:
- Some overtime might be required
- Hourly rate will be based on experience
